In this vital role, you will be the backbone of our daily office functions, ensuring smooth operations and exceptional support across various administrative tasks. Your energetic approach and attention to detail will help foster an efficient, welcoming environment for staff, clients, and visitors alike.

The ideal candidate is highly organized, detail-oriented, customer-focused, and able to multitask. This position offers an exciting opportunity to develop your office management skills while contributing to a vibrant professional setting. Key Responsibilities Accounts Payable Process and verify vendor invoices for copiers, printers, parts, and supplies Enter invoices into the accounting system and maintain accurate financial records Prepare and process vendor payments Reconcile vendor statements and resolve billing discrepancies Customer Service Answer and manage incoming customer service calls Assist customers with supply orders, and general inquiries Communicate with customers regarding order status, billing, and service updates Shipping & Receiving Receive, inspect, and organize incoming copiers, printers, parts, and supplies Prepare equipment and supplies for delivery or technician installation Pack and ship orders as needed Maintain organized storage and warehouse areas Inventory Management Maintain accurate inventory records Track incoming and outgoing equipment and supplies Perform regular inventory counts and audits Monitor stock levels and order items that need to be reordered Coordinate with sales and service teams to ensure equipment and supplies are available Sales Support Create sales orders for new copiers and printers Generate and manage service contracts for customers Assist sales team with customer documentation and order tracking Productivity & Initiative Take initiative to identify tasks that need attention and complete them Assist other staff members when needed Adapt to changing priorities in a small office setting Qualifications High school diploma or equivalent Previous experience in office administration, accounting, customer service, inventory, sales support, or warehouse operations helpful but not required Basic computer skills (Microsoft Office and accounting/inventory systems) Strong organizational skills and ability to multitask Excellent communication and customer service skills Schedule Full-Time Monday - Friday Standard business hours 8-5 Compensation & Benefits Competitive salary Health benefits Paid time off (PTO) 401K program Join us to be a key player in maintaining a well-organized office environment where your proactive attitude makes a real difference!
