Job Summary The Sample Fulfillment Associate is responsible for accurately picking, preparing, packaging, and shipping customer sample requests. This role helps ensure customers receive high-quality samples, literature, binders, color chain sets, and related materials in a timely and accurate manner while supporting inventory control, quality standards, and department communication. Duties and Responsibilities Essential Functions (the primary duties this position exists to perform; reasonable accommodation will be considered for these duties as required by law): Pick sample orders accurately according to request details, product type, quantity, and shipping instructions.
Pack samples, literature, binders, color rings, and related materials to protect product quality during shipment.
Prepare sample shipments as requested by Sales and other internal teams.
Monitor sample inventory and notify the team leader when materials fall below established stocking levels.
Maintain communication with the Sample Department and other departments to support accurate and timely sample fulfillment.
Marginal / Secondary
Functions (performed periodically; not the primary reason the position exists): Assist with organizing, replenishing, and maintaining sample materials and work areas.
Help train new sample department employees as needed.
Perform other duties as assigned. Duties, responsibilities, and activities may change, or new ones may be assigned, at any time with or without notice. Key Responsibilities and Abilities The Sample Fulfillment Associate is expected to consistently demonstrate the ability to: Ship high-quality sample materials that meet customer expectations.
Work efficiently while maintaining accuracy and attention to detail.
Communicate clearly with team members, Sales, and other departments, in person, by phone, and by email.
Support department goals for customer satisfaction, quality, safety, and on-time fulfillment.
Communicate with a wide variety of individuals in a clear and concise manner.
Distinguish colors accurately
- this is required to visually match and verify color chain sets and color-coded samples against customer specifications, an essential function of the role.
Apply basic math skills and read a ruler.
Follow company policies, procedures, quality standards, and safety requirements. Education and Experience High school diploma or equivalent required.
Reporting Relationship Reports to:
Sample Department Supervisor
Works closely with the Sample Department Shipping Specialist, Sample Department, Sales, and other internal departments to support sample order fulfillment.
Physical Requirements Frequency key:
Occasional = up to 1/3 of shift; Frequent = 1/3 to 2/3 of shift; Constant = more than 2/3 of shift. Stand for prolonged periods
