About the Role The Assistant Fulfillment Manager is the operational right hand to the Fulfillment Manager, directly supporting the daily execution of Imprint Engine's high-volume, fast-paced fulfillment operations. This role is built around the real-world demands of the IE fulfillment inbox: coordinating multi-location drop shipments, managing time-critical in-hands deadlines, supporting international shipments, maintaining inventory accuracy, and acting as a reliable bridge between the fulfillment team and the broader Sales and Brand Management organization. The ideal candidate is operationally sharp, calm under pressure, detail-obsessed, and genuinely energized by the challenge of shipping the right item to the right person at the right time — whether that's a single overnight award to New York or a 73,800-piece flyer split-ship across 10 cities. What You'll Do Daily Order Execution & Coordination Monitor and triage the fulfillment inbox (HubSpot, commonsku, Jira Service Management) to prioritize and action incoming shipping requests, kitting tickets, and fulfillment notifications Pull, stage, and coordinate outbound shipments in ShipStation across ground, overnight, and international service levels in alignment with client in-hands dates Coordinate directly with internal production and decoration teams (apparel deco, embroidery, printing) to confirm production-complete handoffs and schedule ship-ready pickups Execute bulk, drop-ship, and kitting orders including multi-location splits, custom packing lists, and client-portal orders International & Complex Shipment Support Assist with international shipments including documentation requirements, commercial invoices, PCCC codes, and customs declarations for shipments to Brazil, Korea, Hong Kong, Ireland, Canada, and Egypt + many others. Coordinate with freight forwarders and logistics partners (DSV, IOR Services, WAC Logistics, DHL Express, Fedex, UPS, USPS, DHL Ecommerce) on international consolidations and event-based freight Track and communicate shipment statuses to internal stakeholders and proactively flag delays or customs exceptions Inventory & Warehouse Operations Maintain accurate inventory records in Acumatica and ShipStation; process inbound receipts, cycle counts, and stock adjustments Support SKU creation, non-compliant item resolution, and inventory close-out processes in coordination with the fulfillment manager Assist with the non-compliant shelf: identify, escalate, and resolve items awaiting SKU assignment or disposition approval Pull and stage inventory for kitting projects; assist in building and executing kitting instructions from Google Sheets-based kitting tickets Client & Internal Communication Serve as a responsive, professional communication link for the fulfillment team, fielding tracking inquiries, recipient change requests, and fulfillment status questions from account directors, brand managers, and clients Update shipping confirmations, tracking numbers, and delivery statuses in commonsku and ShipStation for internal team visibility Escalate time-sensitive issues and shipping conflicts to the Fulfillment manager and the Director of Fulfillment with relevant context and a clear recommended path forward Process & Continuous Improvement Support Assist in documenting and refining fulfillment SOPs, kitting templates, and shipping standards as directed by the Fulfillment Manager and Director Participate in lean/5S initiatives on the warehouse floor; contribute ideas for reducing errors, improving pick speed, and increasing organization Help onboard new fulfillment team members on systems, workflows, and communication standards What You'll Bring Required Experience 4+ years of experience in fulfillment, warehouse operations, logistics coordination, or a related role Hands-on experience with ShipStation or a comparable multi-carrier shipping platform Demonstrated ability to manage multiple concurrent priorities in a deadline-driven environment Comfort working with Google Sheets-based shipping lists, kitting templates, and order tracking tools Strong written communication skills for professional, clear responses to internal teams and client-facing stakeholders Demonstrated expertise in global logistics and multi-carrier management, including international freight, customs compliance, and cross-border shipping strategy Preferred Qualifications Experience with Acumatica, commonsku, or similar ERP/order management platforms Familiarity with international shipping documentation and customs requirements Background in branded merchandise, promotional products, or print-on-demand fulfillment Experience supporting kitting, event-based logistics, or client store fulfillment programs Exposure to lean or 5S practices in a warehouse or production environment A Day in the Life Based on the real flow of work at Imprint Engine, here is what a typical day might look like in this role:
Morning:
Triage the fulfillment inbox — review new commonsku mentions, Jira WF tickets, and ShipStation orders. Flag FIRM IHD orders and prioritize accordingly
Mid-morning:
Pull and stage apparel for an in-house decoration project completing today; confirm ship-station details with the brand manager for ground delivery Late morning: Process a multi-location kitting order — review the Google Sheet kitting list, pull from inventory, pack kits, create labels for 12 addresses
Afternoon:
Coordinate an international FedEx shipment to Ireland using the client's account number; verify customs invoice and confirm delivery ETA with the account director Late afternoon: Respond to a recipient change request from an account director; update ShipStation before end-of-day carrier pickup End of day: Update Acumatica with inbound receipt for a new Keysight restock; flag one item for non-compliant shelf pending SKU creation Imprint Engine is proud to be an Equal Employment Opportunity employer.
