Reporting to the Senior Manager, Planning, Scheduling and Rostering, this position is responsible for building, maintaining, and optimizing vehicle and driver schedules within the Optibus platform to support safe, efficient and cost-effective transportation and shuttle operations. This role is critical to ensuring service reliability, labor compliance, and efficient use of fleet and driver resources across assigned contracts and event operations.Key Responsibilities:
Work collaboratively with internal stakeholders to collect, analyze and collate information in a logical and organized reiterative process. Build, maintain, and update vehicle and driver schedules in Optibus for assigned routes, shuttles, and event operations. Perform run-cutting and rostering to produce efficient, compliant driver assignments that minimize deadhead, overtime, and idle time. Translate service change requests, route modifications, and event requirements into accurate, on-time schedule updates. Coordinate with Operations, Depot, and Fleet/Maintenance teams to confirm vehicle availability, capacity, and readiness for scheduled service. Monitor schedule adherence and on-the-day performance data, recommending adjustments to improve reliability and efficiency. Ensure schedules comply with applicable labor agreements, hours-of-service regulations, and client-specific service level agreements. Partner with HR/Labor Relations and local operations leadership on driver bid processes, shift bidding, and roster changes. Support scheduling for special events and peak-demand periods, including short notice or day-of schedule adjustments. Maintain accurate scheduling data, route/stop libraries, and service calendars within Optibus. Generate regular reports and analytics on schedule efficiency, labor cost, and service performance for operations leadership. Take responsibility for efficient and effective schedule duties from beginning of project throughout the operational period.Qualifications and Requirements:
Bachelor's degree, or equivalent combination of education and relevant work experience. 2+ years of experience in transit, shuttle, or fleet scheduling, run cutting, and driver rostering. Exposure to non-transit bus operations such as meetings, incentives, conventions and exhibitions. Hands-on experience and technical capability within the Optibus platform (strongly preferred), or a comparable scheduling platform (e.g., Trapeze, HASTUS, Remix) Familiar with producing and managing outputs in GTFS format. Fundamental understanding of transport planning, such as route creation, distance & timing matrices, trip creation and scenario planning as required for a complex mega event. Demonstrated experience building and adjusting vehicle blocks, driver runs, and rosters to meet service levels and budget targets. Working knowledge of run-cutting and rostering principles, including labor rules, hours-of-service limits, and union or contractual work rules where applicable. Experience supporting fixed-route, paratransit, shuttle, or event-based transportation operations. Comfort working with both static and dynamic GTFS data, route and stop data, and ridership/service data to inform scheduling decisions. Track record of identifying and implementing schedule efficiencies that reduce cost while maintaining service quality. Proficiency with Optibus scheduling software; ability to quickly learn additional planning and scheduling tools such as fleet management modules, and driver facing applications. Advanced level Microsoft Excel; comfortable with Microsoft Office (Word, PowerPoint) and other online collaboration tools such as relational databases. Strong analytical and problem-solving skills, with the ability to interpret service and labor data to drive decisions. Understanding transit, event transport, or fleet operational principles, including vehicle capacity, route design, and driver labor rules. Excellent attention to detail and accuracy, particularly under tight scheduling deadlines. Strong written and verbal communication skills, with the ability to clearly convey schedule changes to operations and drivers. Ability to manage competing priorities and remain flexible in a dynamic, deadline-driven environment. Ability to maintain confidentiality and exercise sound judgment regarding sensitive operational and personnel information. Familiarity with large datasets and how to utilize business intelligence software to interpret and communicate operational components at a high level. Fluent in English, written and spoken.
