Job Description

Transportation Manager Community Mental Health Center Position Summary The Transportation Manager is responsible for the overall management, safety, coordination, and daily operations of the organization's transportation department. This position ensures that clients are transported safely, efficiently, respectfully, and in accordance with organizational policies, applicable laws, and established safety standards. The Transportation Manager supervises transportation staff and drivers, coordinates transportation schedules, monitors vehicle safety and cleanliness, maintains required documentation, and works closely with clinical, administrative, school, and community partners to ensure reliable transportation services. Essential Duties and Responsibilities Transportation Operations Manage the day-to-day operations of the transportation department. Develop and coordinate daily transportation schedules and routes. Ensure clients arrive at appointments, programs, schools, and other approved destinations safely and on time. Coordinate transportation needs with clinical and administrative departments. Respond promptly to transportation changes, delays, emergencies, and scheduling conflicts. Ensure transportation services are provided in a professional, respectful, and client-centered manner. Driver Supervision Supervise, train, and evaluate transportation staff and drivers. Ensure all drivers maintain valid driver's licenses and required certifications. Verify that drivers meet organizational requirements for driving agency vehicles. Monitor driver attendance, punctuality, performance, professionalism, and compliance with transportation policies. Address unsafe driving, policy violations, negligence, or other performance concerns promptly. Conduct regular driver meetings and safety training. Safety and Risk Management Establish and enforce safe driving practices and transportation procedures. Ensure drivers follow all traffic laws and organizational safety policies. Monitor vehicle operation and address unsafe conditions immediately. Investigate and document accidents, incidents, complaints, and transportation-related injuries. Ensure appropriate reporting is completed following accidents or incidents. Maintain emergency procedures for transportation-related situations. Ensure drivers understand procedures for transporting individuals who may require additional behavioral, medical, or safety support. Vehicle Maintenance and Cleanliness Ensure all agency vehicles are clean, sanitary, safe, and properly maintained. Establish routine vehicle inspection procedures. Ensure preventive maintenance, inspections, registration, and other required vehicle documentation are maintained. Coordinate repairs and maintenance when needed. Conduct or assign routine vehicle inspections before and after use. Ensure vehicles are appropriately equipped with required safety and emergency supplies. Document vehicle damage and determine whether damage resulted from normal wear, an accident, or driver negligence in accordance with organizational policy. Ensure vehicles are cleaned and sanitized regularly, particularly after transporting clients who may require additional infection-control precautions. Client Care and Professionalism Ensure clients are treated with dignity, respect, patience, and professionalism during transportation. Maintain appropriate confidentiality regarding clients and their personal information. Ensure drivers understand appropriate boundaries when interacting with clients. Address transportation-related client or family complaints promptly and professionally. Coordinate with clinical staff regarding transportation concerns that may affect client safety or participation in services. School and Community Relations Maintain professional relationships with school administrators, teachers, crossing guards, law enforcement, healthcare providers, and other community partners. Ensure drivers demonstrate courtesy and professionalism when interacting with school personnel and community partners. Address concerns involving transportation services and external partners promptly. Ensure drivers follow designated school loading/unloading procedures and safety requirements. Documentation and Compliance Maintain accurate transportation records, including: Driver records Vehicle inspection records Maintenance records Mileage logs Fuel records Accident and incident reports Transportation schedules Client transportation records Ensure required documentation is completed accurately and timely. Monitor compliance with organizational transportation policies and applicable federal, state, and local requirements. Maintain confidentiality of client and organizational information. Emergency Responsibilities Respond appropriately to vehicle accidents, medical emergencies, behavioral emergencies, severe weather, and other transportation-related incidents. Ensure emergency services are contacted when necessary. Notify appropriate organizational leadership following significant incidents. Ensure all required incident documentation is completed. Qualifications High school diploma or equivalent required; associate or bachelor's degree in business administration, healthcare administration, transportation, human services, or a related field preferred. Previous transportation, fleet management, supervisory, healthcare, behavioral health, or human services experience preferred. Valid driver's license with an acceptable driving record. Ability to successfully meet the organization's driver qualification requirements. Previous supervisory or management experience preferred. Knowledge of transportation safety practices and vehicle maintenance procedures. Ability to work with individuals receiving mental health or community-based services. Knowledge, Skills, and Abilities Strong leadership and supervisory skills. Excellent organizational and time-management skills. Strong communication and problem-solving abilities. Ability to manage multiple transportation schedules and changing priorities. Ability to remain calm and professional during emergencies or difficult situations. Strong attention to safety and detail. Ability to enforce policies consistently and fairly. Ability to maintain confidentiality. Ability to communicate effectively with clients, families, employees, schools, and community partners. Basic computer and documentation skills. Physical Requirements Ability to enter and exit agency vehicles repeatedly throughout the workday. Ability to assist clients with transportation needs when appropriate and within organizational policy. Ability to inspect vehicles and perform routine safety checks. Ability to work in varying weather and environmental conditions. Ability to sit, stand, walk, bend, and lift within the requirements of the position. Performance Expectations The Transportation Manager is expected to: Prioritize the safety and well-being of clients and employees. Maintain a clean, safe, and reliable transportation fleet. Ensure drivers report to work on time and are prepared to perform their duties. Hold transportation staff accountable for safe and professional conduct. Promote a culture of safety, cleanliness, accountability, and professionalism. Ensure transportation services support the overall mission and goals of the Community Mental Health Center. Demonstrate professionalism when representing the organization in the community.
