FLEET ADMINISTRATOR JOB SUMMARY
Under the direction of the Director - Operations or designated leadership, the Fleet Administrator is responsible for the overall administration, coordination, planning, and management of Arizona Water Company's fleet operations and related asset management programs. This position oversees company-wide fleet activities including vehicle acquisition, utilization, preventative maintenance, repair coordination, replacement planning, vendor management, operational reporting, budgeting support, compliance oversight, and fleet-related administrative functions. This is a full-time, exempt position. The Fleet Administrator works collaboratively with division leadership, Operations, Finance, Safety, and external vendors to ensure fleet reliability, operational efficiency, regulatory compliance, cost control, and effective support of company operations throughout all service areas.
JOB DUTIES AND ESSENTIAL FUNCTIONS
Performs a variety of professional, operational, administrative, and leadership duties that may include, but are not limited to, the following: Develop, administer, and oversee company-wide fleet management programs, policies, procedures, and operational standards. Coordinate and manage day-to-day fleet operations involving company vehicles, equipment, fuel systems, maintenance activities, and related operational assets. Oversee fleet lifecycle planning including vehicle acquisition, replacement schedules, disposal recommendations, and utilization analysis. Assist in the development and administration of fleet-related operational and capital budgets. Monitor fleet performance, maintenance trends, fuel usage, operating costs, downtime, and operational efficiencies. Coordinate preventative maintenance programs to support vehicle reliability, operational readiness, and safety compliance. Collaborate with Division Managers, Supervisors, and operational leadership to ensure timely maintenance, repair, and replacement of company assets. Serve as the primary liaison with vendors, manufacturers, repair facilities, leasing providers, and service contractors. Coordinate procurement activities related to fleet operations including purchase requisitions, quote collection, vendor evaluations, and purchasing support. Oversee administration and tracking of fuel cards, vehicle registrations, insurance records, maintenance records, licensing requirements, and vehicle assignments. Maintain comprehensive fleet records, inventories, reports, and operational documentation. Conduct periodic audits and inspections to ensure accuracy, completeness, and compliance of fleet-related records and activities. Research, develop, and recommend operational improvements related to fleet efficiency, safety, cost management, sustainability, and asset utilization. Prepare reports, analyses, presentations, correspondence, and recommendations for management review and operational planning purposes. Assist with the coordination and implementation of operational initiatives and department projects. Respond to internal and external inquiries regarding fleet operations, company procedures, policies, and operational requirements. Support emergency response operations and operational continuity efforts, as necessary. May provide oversight, direction, coordination, or leadership support to assigned staff, vendors, contractors, or operational support personnel. SKILLS, KNOWLEDGE, AND PHYSICAL REQUIREMENTS
Skills, knowledge, and physical requirements include, but are not limited to: Strong leadership, organizational, analytical, and problem-solving skills. Knowledge of fleet operations, preventative maintenance programs, vehicle lifecycle management, and asset tracking systems. Ability to manage multiple priorities, deadlines, operational projects, and shifting business needs. Strong interpersonal skills and ability to effectively collaborate with employees at all organizational levels. Excellent verbal and written communication skills. Ability to exercise sound judgment, discretion, and independent decision-making. Ability to analyze operational data and develop recommendations for process improvements and operational efficiencies. Ability to maintain accurate records, reports, inventories, and documentation. Knowledge of Microsoft Office 365 and fleet management or asset tracking software systems. Ability to work independently with minimal supervision while effectively managing operational responsibilities. Ability to interpret and apply company policies, procedures, regulations, and operational standards. Ability to travel between company locations, as necessary. Ability to perform repetitive physical activities including sitting, standing, walking, bending, stooping, climbing stairs, reaching, grasping, and operating office equipment. Ability to occasionally lift and carry up to 50 pounds. Must be dependable, punctual, and maintain satisfactory attendance.
EDUCATION, TRAINING, AND EXPERIENCE
The following are required: High school diploma or equivalent. Bachelor's degree in Business Administration, Operations Management, Fleet Management, Public Administration, Automotive Technology, or a related field preferred. Minimum of five (5) years of progressively responsible experience in fleet operations, logistics, operations administration, asset management, equipment coordination, or related field. Previous supervisory, lead, project management, or operational leadership experience preferred. Experience with budgeting, reporting, procurement coordination, vendor management, and operational analytics preferred. Valid Arizona driver's license and acceptable driving record.
