Job Description

Warehouse & Installation Coordinator Hytech Home is seeking an organized, dependable, and proactive Warehouse & Installation Coordinator to join our fast-paced team. This is a hands-on position combining warehouse operations, inventory management, material ordering, installation staging, and field support. The ideal candidate is someone who can keep the warehouse organized, maintain proper stock levels, prepare our installation teams for upcoming jobs, and periodically visit active jobsites to ensure crews have the materials they need and projects are progressing efficiently. This is not a desk-based Project Manager position. You will be actively involved in the warehouse, yard, company vehicles, materials, installation crews, vendors, and jobsites. Warehouse & Inventory Maintain a clean, safe, and organized warehouse and yard Receive, inspect, log, and organize incoming materials and equipment Maintain accurate inventory and stock levels Monitor commonly used materials and supplies Order materials and maintain approximately a 3-4 week supply of commonly used stock Compare vendor and distributor pricing to help control material costs Coordinate with vendors regarding material availability, deliveries, shortages, and returns Track damaged, missing, or incorrectly delivered materials Process and coordinate material returns and exchanges Organize solar, HVAC, roofing, insulation, electrical, and general construction materials Maintain proper storage and organization of tools and equipment Assist with waste management, including warehouse and office trash disposal Assist with seasonal warehouse and property tasks, including snow removal as needed Maintain warehouse and yard safety standards Maintain fleet records and communicate with mechanic. Installation Staging & Job Readiness Review upcoming installation schedules Pull and stage materials for upcoming projects Make sure complete material packages are prepared before installation day Prepare and restock installation trucks with commonly used materials Confirm crews have the correct materials, and equipment before leaving for jobs Identify missing materials or equipment before installation day Coordinate supplier and distributor pickups Coordinate deliveries to the warehouse and active jobsites Load and unload company vehicles and material deliveries Track unused materials returned from completed installations Restock returned materials when appropriate Make local material pickups and jobsite deliveries as needed A major part of this position is helping prevent installation delays by identifying missing materials before the crew arrives at the customer's home. Field & Jobsite Coordination This position will periodically visit active Solar, HVAC, Roofing, and Insulation installations.
Responsibilities include:
Visit active jobsites to check installation progress Confirm crews have the proper materials and equipment Make sure teams are prepared to complete the scheduled scope of work Help identify material shortages or logistical issues Coordinate additional materials when needed Check that crews are working efficiently and productively Help ensure jobsites remain clean, organized, and professional Communicate job progress, material needs, and potential issues back to Operations Help resolve basic field and logistical problems before they cause project delays Assist with coordination between the warehouse, office, vendors, and installation teams Customer Interaction This position will occasionally interact directly with homeowners while visiting active projects. The Warehouse & Installation Coordinator should be comfortable: Greeting and communicating professionally with customers Checking in with homeowners while installations are underway Answering basic questions regarding installation progress Helping address simple jobsite concerns Making sure customers are being treated professionally by our field teams Communicating customer concerns back to the appropriate office team Escalating technical, contractual, sales, or major customer concerns when necessary This position is not responsible for sales, contracts, financing, or managing complex customer disputes. Vehicles & Equipment Conduct regular basic checks of company vehicles and equipment Help identify maintenance needs before they become larger issues Make sure installation vehicles remain properly stocked and organized Report damage, missing equipment, or vehicle concerns Assist with coordinating basic vehicle or equipment maintenance when needed Qualifications Clean NYS Drivers License, CDL is a plus 3+ years of warehouse, construction, logistics, field operations, or similar experience preferred Ability to drive large box trucks and operate a hook lift dumpster truck. Prior warehouse experience preferred Construction industry experience strongly preferred Familiarity with residential Insulation, electrical, solar, roofing, and HVAC materials is a strong plus Experience ordering construction materials and working with vendors Experience using inventory management software or similar computer systems Strong organizational skills and attention to detail Strong communication skills for coordinating with vendors, office staff, crews, and customers Ability to work independently and manage time effectively Ability to prioritize multiple upcoming installations and deadlines Comfortable working in a fast-paced environment Forklift experience and certification OSHA certification Ability to work indoors and outdoors in various weather conditions Ability to safely lift and move materials weighing up to 50 pounds High school diploma or equivalent
