SUMMARY OF RESPONSIBILITIES
Provides administrative and logistical support for the Child Outreach Program, including scheduling developmental screenings, preparing materials, maintaining records, and communicating with families and schools across the local education agencies which service the Scituate, Glocester, and Foster-Glocester Region School Departments. Acts as a key contact for families and supports the Coordinator in ensuring effective operations for screenings of children ages 3-5.
ESSENTIAL FUNCTIONS
1.
Beginning of the year:
Unpack and restock supply inventory. Make copies and replenish all forms needed for the upcoming year. Contact screening sites to confirm screening dates. Print and review KIDSNET census of all K-1, K-2, and K-3 students. Contact families who requested a screening appointment over the summer. Request class lists with student names and dates of birth from all integrated and private preschools in our districts. Prepare parent consent packets and deliver to all schools to ensure paperwork is completed prior to the screening. Contact district elementary schools for current Kindergarten lists; review and identify any students not screened the previous year by Child Outreach. Prepare screening packets for each child and separate them according to the school they attend for distribution to the screeners. Once screenings are completed and returned to the office, record results for our records; send screenings to school principals and Kindergarten teachers. Update the student IEP list and edit the census as needed. Send screening letters and community screening dates to families of all students who turned three over the summer. 2.
Ongoing throughout the school year:
Maintain inventory of all screening and office supplies. Schedule screening appointments, confirming by email and phone prior to the screening date. Prepare screening packets (ESI-P/K, PLS-5, vision and hearing forms) and parent consent packet if needed. About 75% of the consent paperwork is now being done through email. Transfer the emailed information to the summary sheet for the screeners. Review ASQ-2; if there are parent concerns, notes are made, and the questionnaire is printed out. Screens are also prepared with the child's name and chronological age. Enter screening results into the KIDSNET Database, generate and email/mail the result letter; contact families of children who need to be rescreened; set up appointments. Enter all screening results into an Excel summary sheet for our records; enter the screening information into the Kidsnet Database. Configure the KIDSNET demographic screening report monthly for each district by town and zip code. Review reports and contact families by phone, letter, or email to schedule screening appointments. 3.
Mid-Year:
Assist school principals and secretaries with the upcoming Kindergarten Registration. Prepare a current list of all students and parent contact information; update the list as needed throughout the remainder of the year. Prepare a list in March for the CO Coordinator for K-registration screenings to determine which children need a current screening. Assemble supplies/materials required for Kindergarten registration. Enter completed screening information into KIDSNET and send the result letters to families. 4.
End of Year:
Inventory and reorder supplies. Assist Coordinator with preparation of the next year's screening schedule; confirm dates with screening sites and preschools by phone/email; follow up with a letter. Review all screenings; assemble screening packets, create a folder for each child (name and DOB), and refile for next year. Review and purge Kindergarten student files; screenings are stapled, and folders are labeled with the child's name and DOB. Folders are separated by elementary school and delivered to each school prior to the end of the school year. Print out a needs screening and demographic report from KIDSNET for each district to keep for our records. This is especially important for the children who will be attending Kindergarten the following year, as all of the K-1 information is archived by KIDSNET. 5.
Screening site duties:
Should additional screening staff be required, administer initial screening for children ages 3 - 5. Administer development and speech rescreens when needed. Score screening, add comments, and complete screening summary.
