Job Summary The Appointment Scheduler is responsible for contacting Salvation Army clients, confirming transportation needs, and coordinating pick-up times with drivers so clients can attend appointments at various Social Security Administration (SSA/SSI) offices. This role ensures smooth, reliable scheduling while providing clear communication and respectful support to clients who may face barriers related to housing, income, mental health, or other challenges. Essential Duties and Responsibilities Contact clients by phone (and follow-up via text or other approved methods when appropriate) to schedule, confirm, or reschedule transportation to SSA/SSI offices. Gather accurate client information (name, location, contact details, appointment time/location, mobility needs, special instructions) and enter it into the scheduling system or shared calendar. Coordinate daily and weekly transportation schedules with drivers, matching client pick-up times, locations, and destinations efficiently. Maintain an up-to-date master schedule of appointments, driver assignments, and client status (confirmed, no-show, canceled, rescheduled). Handle cancellations, no-shows, and last-minute changes promptly; notify drivers and update records accordingly. Provide clients with clear instructions about pick-up times, meeting locations, and what to expect; answer basic questions about the transportation service. Communicate regularly with Salvation Army staff, drivers, and internal team members to resolve scheduling conflicts or client issues. Track and document transportation requests, completed trips, and any barriers clients report (e.g., difficulty reaching SSA, mobility needs). Maintain client confidentiality and follow all organizational policies related to privacy and professional boundaries. Assist with related administrative tasks such as updating contact lists, preparing daily driver packets or route summaries, and compiling basic scheduling reports. Participate in team meetings and training related to client services and transportation coordination.
