Job Description

Overview VPC Builders is a full-service construction firm based in Boone, NC. We specialize in custom residential and commercial construction, design + build, Green Building, and remodeling across the High Country. Our projects succeed because we communicate and work closely with our clients and with a carefully chosen group of architects, subcontractors, and suppliers. Setting a budget, building a construction schedule, understanding the permit process, and working through the many design decisions are just a few of the ways we work alongside our clients. We're looking for a friendly, organized, and dependable Client Engagement Coordinator to join our team. You'll be the first voice and face clients meet at VPC, and you'll set the tone for their entire experience with us. You'll answer and direct incoming calls, manage client information, and guide new clients through onboarding. You'll also keep our office running smoothly. You'll work closely with our Marketing Director, sales team, and project teams so every inquiry is handled quickly and professionally and every client feels welcomed, informed, and confident from day one. This role suits someone who enjoys building relationships, takes pride in accuracy, and likes keeping many moving pieces organized. Responsibilities Client Engagement Serve as the first point of contact for all client interactions, including phone, email, and in-person inquiries Answer, screen, and direct incoming calls to the right team member promptly and professionally Take in new client inquiries, gathering project details, budgets, timelines, and contact information Manage the client onboarding process, from first contact through handoff to sales and project management Keep clients engaged and informed with timely follow-ups so no inquiry falls through the cracks Keep client and project records accurate and current in our CRM and project management systems, including lead source tracking Schedule consultations, site visits, and meetings for the sales and leadership teams Ask clients for reviews and testimonials at key project milestones, working with the Marketing Director Prepare, organize, and proofread client documents, agreements, and correspondence Help gather the documents and information needed for permits and approvals during pre-construction Work with management to keep improving the client intake and onboarding experience Provide additional onboarding support for new hires Office Operations Manage day-to-day office operations, including supplies, equipment, and keeping the office clean, organized, and welcoming Coordinate schedules, appointments, and travel for leadership and team members Provide general administrative support to leadership as needed Qualifications 2+ years of experience in client services, front desk, reception, or administrative coordination Excellent phone manners and strong verbal and written communication skills Highly organized, detail-oriented, and able to manage multiple priorities Experience with CRM software and Microsoft Office Suite Comfortable learning new software (experience with Buildertrend is a plus) Experience with HR administration is a plus Able to handle confidential client and employee information with discretion Warm, professional demeanor and a genuine interest in helping people Construction, real estate, or design industry experience is a plus but not required At VPC Builders, we foster a collaborative and supportive work environment where your contributions are valued. Pay:
$45,000.00 - $55,000.00 per year
