Customer Service Representative Blue Dolphin Restoration Corp - 1.0 Laguna Niguel, CA Job Details Part-time | Full-time $19 - $23 an hour 2 hours ago Benefits Health insurance Dental insurance Vision insurance Qualifications Computer operation Spanish English Customer support Construction experience Full Job Description Job Summary Blue Dolphin Restoration (BDR) is looking for an organized, personable, and dependable Office Coordinator / Customer Service Representative to support our growing restoration and home-services operation. This is much more than a traditional receptionist position. You will often be one of the first people our customers speak with when they contact BDR, sometimes during a stressful water-damage or property-loss situation. We are looking for someone who communicates well, stays organized, follows through, and can help coordinate the many moving pieces involved in our daily projects. The position will work closely with our Mitigation Client Liaison (MCL), Project Managers, technicians, customers, and other members of our office team. Responsibilities will include answering incoming calls, assisting with new customer intake, scheduling appointments and technicians, updating our CRM and project-management systems, following up with customers, and helping ensure important tasks don't fall through the cracks. For the right person, this position also provides an opportunity to learn more about restoration operations and grow into greater project and client coordination responsibilities. Responsibilities Answer incoming customer and prospective-client calls professionally, courteously, and with a sense of urgency. Gather information from new customers regarding water damage, property losses, and other service needs. Enter new leads, customer information, notes, appointments, and project updates accurately into our CRM and other company systems. Assist with scheduling initial inspections, monitoring appointments, equipment pickups, and other customer appointments. Coordinate technician schedules for active and upcoming projects. Communicate appointment times and scheduling updates with homeowners, Project Managers, and technicians. Follow up with customers regarding access to their property, scheduling needs, outstanding work, and other project-related matters. Monitor active projects and help identify outstanding tasks, unanswered communications, scheduling issues, or other items that may be holding up progress. Assist our Mitigation Client Liaison and Project Managers with keeping mitigation projects organized and moving forward. Maintain accurate documentation of customer communications, scheduling changes, and important project information within the CRM. Help ensure photographs, documents, notes, and other project information are properly entered and organized. Assist with communication and coordination involving homeowners, insurance representatives, technicians, subcontractors, and other parties when needed. Help coordinate the transition of projects from mitigation into the next phase of work. Monitor internal communication and project-management platforms and follow up on outstanding items. Perform general administrative and office-support duties as needed. Work collaboratively with the BDR team to provide customers with responsive, professional service from their first call through completion of their project. What We're Looking For Strong customer-service and telephone communication skills. Excellent organization and follow-through. Comfortable managing multiple appointments, phone calls, projects, and priorities throughout the day. Strong attention to detail when entering customer and project information. Comfortable learning and working in CRM and project-management software. General computer proficiency, including email, calendars, Microsoft Office, and web-based applications. Ability to communicate professionally with homeowners, technicians, Project Managers, and other professionals. Dependable and able to take ownership of assigned tasks without requiring constant supervision. Able to recognize when something needs attention and proactively follow up rather than waiting for someone else to address it. Previous customer service, scheduling, dispatching, office coordination, construction, restoration, HVAC, plumbing, or other home-services experience is a plus. Experience with restoration or insurance-related work is helpful but not required. We are willing to train the right person. Bilingual English/Spanish is a plus. What Success Looks Like in This Position The right person will help make sure that when a new customer calls, they receive a prompt response; when an appointment needs to be scheduled, it gets scheduled; when a technician needs direction, the information is available; and when something is outstanding on a project, it gets identified and followed up on. We're looking for someone who takes pride in being organized and responsive and who understands that good communication behind the scenes directly affects the experience our customers have with BDR. This position has room to grow as you become familiar with our restoration processes, customers, systems, and day-to-day operations.
