The position is responsible for managing and directing all aspects of admissions coordination according to agency expectations. The position ensures that behavioral health client needs are met related to admissions, program enrollment and community outreach. The Call Center Agent is an integral position that ensures efficient and effective admissions along with related tasks and responsibilities. The Call Center completes all related tasks and responsibilities commensurate with agency's values and expectations. Experience in Behavioral Health is required.
Essential Duties and Responsibilities:
Primary staff to answer calls coming to the main line Monday - Friday 8am-7:30pm, after hours when necessary and at minimum 1 weekend a month on call and alternating evenings. Must gather as much information from the caller as possible: Name, DOB, Insurance, Phone Number, Email, Emergency Contact and reason for their call Oversee potential client pipeline: follow up open leads daily, properly close out missed leads, schedule future admissions, attach referred out leads to the appropriate organization Adhere to the two step process and proper call procedure when answering inbound calls. Monitor and service clients on Live Chat via website and/or app Attempt and maintain contact with Alumni found in the CRM for relationship management and
Oversee Call Tracking Metrics:
Assign rep, rate calls etc. Assist with the
Business Development Team:
Build out client profiles, submit VOB request, schedule clients, perform pre admission assessments, schedule transportation Communicate future client payments with admin and Director of Admissions via email prior to admission Communicate with Director of Admissions and facility directors of important information pertaining to their site location Oversee Salesforce database: Maintain data integrity when creating client records by using company protocol, report breaks and malfunctions to the Director of Admissions, review daily work and adjust errors prior to finishing a shift (if more time is needed then your shift will extend), Leave notes and follow proper protocol when initiating follow ups of patient records. Ensure that Medical Records are attached to each client's medical tab in EMR prior to client starting services Oversee all potential leads in the CRM while using CRM externally or within EMR effectively and efficiently Make sure all potential leads are closed out only with approval from the Director of Admissions. Assist business development representatives with any potential leads (this can include speaking with the treatment center, potential client, potential client's family or referral source) Assist business development with any type of referral source management needs they might have Oversee all data that is being logged in the CRM for accuracy and thoroughness per agency expectations Assist business development representatives with booking out their calendars or setting future appointments Answers incoming potential clients calls, answers questions about all programs and close potential leads and their families per agency expectations Work with the Director of Admissions to place clients in the appropriate program based on assessments and insurance Ability to maintain confidentiality and adhere to HIPAA regulations. High school diploma or equivalent required; associate's degree or higher in a healthcare-related field preferred.
