This is a full-time, in-office position responsible for helping prospective and existing clients receive responsive, compassionate, and professional service. The Client Relations Specialist will answer the firm's main telephone line, conduct initial intake, schedule consultations, assist qualified prospective clients with retaining the firm, coordinate new-client onboarding, and remain involved in the client experience throughout the representation. This is not simply a receptionist position. The successful candidate must be comfortable speaking with people experiencing divorce, custody disputes, financial stress, and other difficult circumstances. The position requires excellent judgment, persistent follow-through, attention to detail, and the confidence to discuss consultation fees, retainers, and payment procedures. The Client Relations Specialist reports directly to the firm's Executive Administrator and works closely with attorneys, paralegals, and firm leadership. Responsibilities Answer the firm's main telephone line promptly, warmly, and professionally. Return missed calls and voicemails within established response times. Serve as the first point of contact for prospective and existing clients. Conduct structured initial intake calls and accurately gather relevant factual and administrative information. Obtain the information needed for conflict checks before detailed intake occurs. Identify urgent deadlines, hearings, safety concerns, or other matters requiring immediate escalation. Enter complete and accurate information into the firm's intake and case-management systems. Schedule attorney consultations and provide appointment instructions, confirmations, and reminders. Collect consultation payments, intake forms, case numbers, existing court orders, and other requested documents. Prepare clear and organized intake summaries for the consulting attorney. Follow up promptly after consultations. After an attorney approves the scope of representation and fee, confidently ask prospective clients to retain the firm. Explain approved administrative terms, send engagement agreements and payment links, and assist with completing the retention process. Address routine nonlegal questions and approved objections professionally. Follow up consistently until the prospective client retains the firm, declines, hires another firm, or is appropriately closed out. Track consultation outcomes, conversion rates, follow-up activity, and reasons prospective clients do not retain the firm. Welcome newly retained clients and coordinate a smooth handoff to the assigned legal team. Ask whether clients feel informed, supported, and satisfied with the firm's communication. Document client concerns, route legal questions to the appropriate legal professional, and monitor service issues until they are addressed. Identify dissatisfied or at-risk clients and promptly escalate concerns to the Executive Administrator or firm leadership. Manage the firm's Google-review request process and track requests and responses. Record and acknowledge referral sources. Assist with case-closing communications and gather client feedback. Prepare regular reports regarding calls, leads, consultations, retained clients, client check-ins, unresolved concerns, reviews, and referrals. Maintain strict confidentiality and professionalism at all times. Qualifications Prior experience in client relations, legal intake, customer service, professional services, account management, hospitality, healthcare, sales support, or a similar client-facing position. Excellent telephone presence and verbal and written communication skills. Ability to build trust quickly with people experiencing stressful or emotional circumstances. Confidence discussing consultation fees, retainers, payment procedures, and engagement decisions. Strong organizational skills, accuracy, and attention to detail. Demonstrated persistence and follow-through without being aggressive or pushy. Ability to manage frequent telephone calls, emails, appointments, follow-ups, and competing priorities. Ability to remain calm and professional when interacting with upset or demanding individuals. Sound judgment concerning when a matter must be escalated. Proficiency with Microsoft Office and the ability to learn legal intake, case-management, telephone, and payment systems. Reliable attendance and the ability to work full-time in our Stuart office. Law-firm or family-law experience is preferred but not required. Experience with Clio, Lawmatics, LawPay, or similar systems is a plus. An associate degree or higher is preferred. Prior accounting, bookkeeping, business administration, or law-firm billing experience is a plus. Important Nonlawyer Boundaries This is a nonlawyer position. The Client Relations Specialist may gather factual information, explain administrative procedures, facilitate approved engagement and payment steps, and coordinate communication. The employee may not provide legal advice, evaluate the merits of a case, recommend legal strategy, predict results, or independently establish or modify legal fees or the scope of representation. Ideal Candidate The ideal candidate is compassionate but able to maintain professional boundaries, confident without being overbearing, and persistent without sounding sales-driven. This person takes ownership, follows through on commitments, notices when a client may be dissatisfied, and works to ensure that no prospective or existing client is overlooked.
