Duties Respond promptly and professionally to customer inquiries via phone, email, and live chat using multi-line phone systems and email platforms. Manage front desk operations, including greeting visitors, answering calls, and directing them appropriately. Maintain accurate records through data entry, filing, and updating client information in spreadsheets and customer management software such as QuickBooks. Support office management tasks like calendar scheduling, appointment setting, and organizing meetings using Microsoft Office tools and Google Workspace. Assist with clerical duties including proofreading documents, preparing correspondence, and managing office supplies to ensure smooth daily operations. Provide exceptional customer support by addressing concerns, troubleshooting issues, and offering product or service information with excellent phone etiquette. Collaborate with team members on administrative projects such as bookkeeping, file organization, and maintaining productivity software to enhance overall office efficiency. Qualifications Proven experience in office management or administrative roles with strong organizational skills. Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, spreadsheets, and data entry tools. Excellent computer literacy with familiarity in QuickBooks, customer support software, and technical proficiency in productivity tools. Strong communication skills including phone communication, client interaction, bilingual abilities (preferred), and professional phone etiquette. Previous experience as a receptionist or in a medical/dental office environment is a plus; familiarity with front desk duties or medical receptionist tasks is advantageous. Demonstrated ability to multitask efficiently while managing time effectively in a fast-paced setting. Attention to detail for proofreading documents and maintaining accurate records; clerical experience highly valued.
