Duties Respond promptly and professionally to customer inquiries via multi-line phone systems, email, and chat platforms. Manage front desk operations, including greeting visitors, handling incoming calls, and directing them appropriately. Utilize office management tools such as Microsoft Office Suite, Google Workspace, and productivity software to document interactions, update client records, and prepare reports. Perform data entry with accuracy using spreadsheets and database systems like QuickBooks to track customer information and transactions. Maintain organized filing systems—both digital and physical—to ensure easy retrieval of documents and records. Assist with calendar management, scheduling appointments, and coordinating meetings for team members or clients. Support clerical tasks such as proofreading correspondence, managing office supplies, and handling administrative duties that keep the office running smoothly. Qualifications Proven experience in customer service or administrative roles with strong office management skills. Excellent computer literacy with proficiency in Microsoft Office (Word, Excel), Google Workspace, data entry, and productivity software. Familiarity with QuickBooks or similar accounting software is preferred. Strong organizational skills with the ability to multitask efficiently in a fast-paced environment. Exceptional phone etiquette and communication skills—bilingual abilities are a plus! Experience working with multi-line phone systems and front desk operations. Demonstrated ability to manage time effectively while maintaining attention to detail through proofreading and accurate data entry. Prior office experience involving clerical tasks such as filing, calendar management, or personal assistant responsibilities is highly desirable.
