Duties Greet visitors and clients at the front desk with a friendly, professional demeanor, managing multi-line phone systems to direct calls accurately. Respond promptly to customer inquiries via phone, email, or in person, delivering clear and helpful information while practicing excellent phone etiquette. Manage appointment scheduling and calendar coordination using Microsoft Office and Google Workspace tools to ensure smooth daily operations. Perform data entry tasks such as updating client records, filing documents, and maintaining organized digital and physical files. Assist with office management duties including supply inventory, basic bookkeeping using QuickBooks, and clerical support like proofreading documents and managing correspondence. Support administrative functions such as answering questions about services, processing payments, and supporting team members with personal assistant tasks when needed. Maintain a clean, organized front desk area and ensure all office equipment is functioning properly for optimal workflow. Skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for document creation, email communication, and calendar management. Strong organizational skills with the ability to multitask efficiently in a fast-paced environment. Excellent computer literacy including data entry, filing systems, and basic bookkeeping using QuickBooks. Bilingual abilities are highly valued to serve diverse client needs effectively. 2 years minimum of customer service experience is required. Exceptional customer service skills combined with professional phone etiquette and active listening capabilities. Proven time management skills to prioritize tasks effectively while maintaining accuracy in proofreading and data entry tasks.
