Service Coordinator Irving Equipment LLC Location:
Tiffin, Ohio Schedule:
Monday-Friday, 7:30 AM - 5:00 PM Position Summary Irving Equipment is seeking a highly organized and customer-focused Service Writer to coordinate the daily operations of our crane and truck service department. This position serves as the primary point of contact between our customers, technicians, vendors, and manufacturers to ensure every repair is completed efficiently, accurately, and professionally. The ideal candidate is detail-oriented, communicates well with customers, can manage multiple priorities, and enjoys working in a fast-paced environment. This is an office-based position in our clean, climate-controlled (air-conditioned and heated) office. Primary Responsibilities Customer Service Greet customers and discuss repair needs when units arrive for service. Maintain regular communication with customers regarding job status, estimated completion dates, and any additional repairs. Quote repair and maintenance jobs for customers. Follow up with customers regarding completed work and collect payment when necessary. Service Scheduling & Work Orders Schedule shop service jobs and coordinate technician workloads. Create and maintain service work orders in both paper and electronic formats. Track each work order from opening through completion. Close completed work orders Review labor reports and ensure accuracy. Documentation & Recordkeeping Photograph equipment throughout the repair process. Upload photographs to the appropriate electronic job folders and send to customers as needed Maintain organized digital and paper job files. Run labor and service reports as needed. Invoicing & Accounting Support Prepare customer invoices for completed repair work. Process service invoices accurately and promptly. Create purchase orders as needed. Assist with payment collection on outstanding invoices. Warranty Administration Submit parts and labor warranty claims to manufacturers. Track warranty claims until finalized. Maintain warranty records for shop repairs and replacement parts. Parts & Vendor Coordination Communicate with vendors regarding parts orders, pickups, and deliveries. Coordinate with the parts department to ensure all required parts are available before closing work orders. Complete unfinished vehicle decal projects as needed. Transportation & Compliance Create Bills of Lading for truck transportation. Obtain permits required for truck movements. Submit manufacturer in-service paperwork for new cranes and trucks. Maintain accurate records of in-service dates. Qualifications Excellent organizational and time-management skills. Strong communication and customer service abilities. Comfortable working with computers and business software (QuickBooks experience preferred). Ability to multitask while maintaining attention to detail. Professional phone and email communication skills. Ability to work independently while supporting the entire service team. Mechanical knowledge of trucks, cranes, or heavy equipment is preferred but not required. Experience in service writing, dispatching, fleet maintenance, or heavy equipment service is preferred. Pay:
$25.00 - $28.00 per hour
