Wedding Day Coordinator | Independent Contractor Autumn Creek Vineyards Wedding Venue | Mayodan, NC About the Position Autumn Creek Vineyards Wedding Venue is looking for experienced, dependable, and cheerful Wedding Day Coordinators to join our team as independent contractors. This is a flexible, limited part-time position. We have weddings throughout the year, and coordinators are offered individual wedding dates as they become available. When a date is offered to our coordinator group, one coordinator accepts that wedding and becomes responsible for the rehearsal and wedding day. This is a great opportunity for someone who enjoys weddings, is comfortable directing people and managing a timeline, and wants to be part of creating a beautiful experience without taking on the responsibilities of full-service wedding planning. This Is a Day-of Coordination Position The wedding planning is already done. By the time you step into a wedding assignment, our Autumn Creek team has already done the planning and preparation leading up to the wedding. You will receive the information you need to execute the event, including: The couple's completed wedding details and questionnaire The wedding-day timeline Ceremony and reception plans Vendor information Venue logistics and setup details Important instructions and details specific to the wedding Our employees handle the planning, communication, preparation, and booking leading up to the wedding. Your job is to take that plan and bring it to life. You are not responsible for selling or planning the wedding, booking vendors, or creating the event from scratch. Your responsibility is to step into an organized wedding, understand the plan, take ownership of the day, and make sure everything runs smoothly from rehearsal through the end of the wedding. The Rehearsal The coordinator assigned to the wedding also leads the approximately one-hour rehearsal the evening before the wedding. The rehearsal is an important part of the assignment because it gives you the opportunity to: Meet the couple and wedding party Become familiar with the ceremony plan Direct everyone through the processional Answer questions and provide clear instructions Make sure everyone understands where they need to be and when Walk through the processional several times until everyone is comfortable Establish yourself as the person directing the wedding-day timeline You will work with the couple, wedding party, officiant, and venue team to make the rehearsal organized, relaxed, and reassuring. Wedding Day | 10:00 AM Until Approximately One Hour After the Reception The wedding day begins at 10:00 AM and continues until approximately one hour after the reception ends. Your role throughout the day is to be the person who knows the plan, watches the clock, communicates with the people involved, and keeps the moving pieces moving, all while treating the vendors as professionals who know their job.. There are natural breaks throughout the day, and you will have opportunities to sit, rest, and eat. This is not a job where you are expected to run around every minute. The goal is not to be constantly moving. The goal is to be present and available. 10:00 AM | Arrival, Review & Setup Upon arrival, you will review the prepared wedding information and timeline and familiarize yourself with the day's details. You will then oversee the ceremony and reception setup, working with the Autumn Creek venue team to make sure the spaces are ready for guests.
This includes checking:
Correct number and placement of ceremony chairs Ceremony layout on the lawn, patio, or indoor ceremony space Correct number and placement of reception tables and chairs Table settings and other reception details Ceremony and reception spaces for cleanliness and presentation That the overall setup matches the prepared wedding plan You will also meet and communicate with vendors as they arrive. The DJ, photographer, and caterer are active participants throughout the wedding day, so you will work closely with them before the ceremony and throughout the reception. The florist and baker typically drop off and leave , so you will simply make sure their deliveries are received and placed appropriately according to the wedding plan. Your responsibility is not to do every task yourself. It is to notice what needs to happen, communicate with the appropriate person, and make sure it gets done. Prelude & Ceremony The prelude begins approximately 30 minutes before the ceremony. This is when your role becomes especially focused on the wedding party and keeping everyone on schedule. Your primary responsibility is to organize and direct the wedding party from the bridal ready rooms and other preparation areas into their proper positions for the ceremony.
You will:
Direct bridesmaids and groomsmen Coordinate parents, grandparents, flower girls, ring bearers, and other participants Make sure everyone is in the right place at the right time Keep the wedding party moving according to the timeline Communicate with the DJ regarding cues Coordinate with the photographer and officiant Work with ushers as needed Cue the processional Remain calm, reassuring and cheerful if something unexpected happens Once the prelude begins, you should be visible and available in the ceremony area and ready to respond to whatever is needed. Reception The most important part of your role during the reception is surprisingly simple: Be present, cheerful, helpful, and available. From the beginning of the prelude through the end of the reception, you should be visible and approachable. The couple, wedding party, guests, vendors, and Autumn Creek team should know that if they need something, you are the person they can come to.
You will:
Keep the wedding moving according to the prepared timeline Communicate upcoming events and transitions to the DJ, photographer, caterer, wedding party, and venue staff (note they are professionals and will have the timeline and their own instructions from the couple as well, this is a professional interaction that respects their role) Coordinate introductions and other scheduled events Help keep the first dance, parent dances, dinner, speeches, cake cutting, and other reception activities on schedule Anticipate what needs to happen next Communicate changes or delays to the appropriate people Help solve small problems before they become big ones Support the couple so they do not have to manage wedding logistics Remain cheerful, calm, and welcoming throughout the celebration The DJ serves as the Master of Ceremonies, but the coordinator works closely with the DJ to make sure the timeline and transitions happen smoothly. You will also coordinate with the photographer and caterer throughout the reception, making sure everyone knows what is coming next and that important moments happen when they are supposed to. Couple's Dinner Autumn Creek provides dinner for the coordinator. Typically, you will quietly step away for a short period to eat, often while the couple is eating or during another natural break in the reception. Enjoy your dinner, take a moment to breathe, and then return to being visible and available. There are breaks during the wedding day. We understand that you cannot be "on" every second. What matters is that during the active wedding celebration, you are present, approachable, and attentive to what is happening around you. It also requires Coordinating photography breaks, cake cutting and other items on the timeline Coordinating the couple's planned exit Making sure sparklers, lavender, bubbles, birdseed, or other approved exit items are ready Making sure valet or transportation is ready for the couple Helping ensure guests have safely departed After the Reception | Close-Out Your responsibility does not end when the last dance is over. You will remain until approximately one hour after the reception ends to help the final portion of the evening and assist your Autumn Creek teammates with closing down. Depending on the wedding, this may include: Coordinating with venue teammates during cleanup Boxing and organizing wine glasses Wiping tables as needed Sweeping the cake area Cleaning the cake table Handling leftover wine according to the couple's and venue's procedures Washing wine glasses Checking that all areas are ready for final venue close-out Communicating with Autumn Creek teammates about anything that needs attention before leaving Who We're Looking For The ideal Wedding Day Coordinator is: Experienced with weddings, events, hospitality, or event coordination Calm and confident in a busy environment Warm, cheerful, and genuinely helpful Comfortable directing groups of people Organized and able to follow and manage a timeline Comfortable communicating with vendors and venue staff Able to anticipate what needs to happen next Reliable and punctual Comfortable being on their feet for portions of the day Comfortable stepping in when something needs attention Professional while still being personable and approachable Someone who understands that the couple's wedding day is about them, not about the coordinator Prior wedding or event coordination experience is strongly preferred. Scheduling & Compensation This is a flexible, limited part-time independent contractor position. Wedding dates are offered to our group of coordinators as they become available. Only one coordinator accepts each wedding date. The coordinator who accepts the assignment is responsible for both the rehearsal and wedding day. The rehearsal is approximately one hour the evening before the wedding. The wedding day begins at 10:00 AM and typically ends approximately one hour after the reception. Total time commitment is generally around 15 hours or less , depending on the wedding. Compensation is a flat $225-$300 per wedding , based on experience and qualifications. There is only one wedding per weekend, so this is an ideal role for someone looking for occasional, flexible wedding work rather than a full-time position.
