Do you have a keen eye for detail and take pride in accuracy? We have a great opportunity for you as a full-time Records Associate! This position offers a consistent Monday-Friday schedule, typically 8:00 a.m. to 4:30 p.m., at our convenient Mendota Heights location. You'll enjoy a quiet, relaxed professional work environment, excellent benefits, and the support of a small, collaborative team. This hybrid position includes regular onsite work in our Mendota Heights office, with the possibility of working from home part of the week after training. As the Records Associate , you'll be providing essential services for ARRT by maintaining credential processing, mass mailings, scanning and updating records, all while you: Promote accuracy of all information Utilize database software to manage electronic and paper processes Work collaboratively with the Education Review and Records teams Duties and Responsibilities Records Maintenance Accurately and efficiently process record changes, renewals, reinstatements, and verifications from acceptable sources such as the internet, mail, and fax. Update record statuses. Correspond with registrants as necessary. Provide requested materials. Document as appropriate. Escalate issues to Manager- Records and Education Review as appropriate. Records Miscellaneous Use, clean, and perform basic maintenance on equipment such as fax/copier, scanner, label printer, folding machine and other mailing equipment. Coordinate record storage with off-site record storage company and retrieve files as necessary. Assist with other duties as assigned. Scanning Perform any prep work required to documents before, during, or after scanning, including validating, and archiving files. Scan documents as required including documents for: Records and Education Review teams, as well as other departments. This includes documents for audit, name change documents, examination applications, ethics documents, assessment documents and other correspondence documents. Records Associate 1 Model exemplary customer service via communications with external and internal customers. Communicate and collaborate with other staff members in a culture of continuous quality improvement while identifying and recommending process improvements. Assist with call sheet processing. Assis with mailings, including mass mailings. Assist in maintaining and updating record department materials. Participate in meetings or projects requiring Records representation. Participate in the talent acquisition process for department. Participate in ongoing learning activities. Embrace ARRT's commitment of providing world class customer service. Support organizational priorities through active participation in ARRT Projects as assigned. Proactively manage and deliver assigned ARRT project work. Other duties as assigned and modified as business needs dictate. Minimum Qualifications High School Diploma or equivalent Preferred Qualifications Experience in records maintenance and scanning
Skills and Abilities:
Efficient time and resource management and organizational skills. Record, document, and maintain system information. Experience working both independently and collaboratively. Proven written and verbal communication skills, including solid knowledge of appropriate spelling, punctuation, and grammar usage. Ability to apply logical, critical thinking, and problem-solving skills to analyze a variety of different situations with several possible explanations or alternatives and make decisions. Ability to easily adapt to change based on the needs of the position, department, or organization. Demonstrated ability to prioritize multiple assignments with strong attention to detail, accuracy, and ability to think analytically. Demonstrated proficiency with computer technology and software programs, including the Microsoft Office suite. Desire to acquire knowledge and skills necessary to accomplish results and new challenges. Demonstrated ability to understand and follow written procedures. Experience in understanding and adhering to procedures and policies.
