The ideal candidate will be organized, dependable, approachable, and comfortable working with individuals from a wide range of backgrounds and life experiences. Our students may include individuals experiencing homelessness, people who were previously incarcerated, English language learners, and adults facing educational, employment, or personal barriers. This position requires someone who can treat every student with dignity, patience, professionalism, and respect while maintaining appropriate boundaries and accurate records. The Student Support Specialist will complete general administrative duties, including data entry, recordkeeping, student enrollment, attendance monitoring, exam scheduling, and assessment proctoring. The specialist will also help create a welcoming and supportive environment for students, visitors, instructors, and community partners. Essential Responsibilities Coordinate student orientations, enrollment appointments, and program intake services. Assist students with enrollment forms, pre-assessments, and required program documents. Set up students in online pre-assessment and educational testing systems. Welcome students and visitors and guide them throughout the facility. Enter student enrollment information and monthly updates into the organization's data-management system. Monitor, document, and report student attendance. Maintain accurate administrative records, student files, and program spreadsheets. Schedule and oversee student pre-assessments and official high school equivalency examinations. Proctor state assessments and other required examinations according to established testing procedures. Maintain organized, complete, and accurate records to support program monitoring and audits. Assist instructors by administering practice tests and providing general classroom support when needed. Communicate professionally with students, staff members, managers, and community partners. Attend recruitment meetings, community outreach activities, program events, and other assigned meetings. Follow confidentiality requirements and protect sensitive student information. Help maintain a clean, organized, professional, and welcoming learning environment. Participate in cross-training and provide support in other program areas as needed. Required Skills and Qualifications Proficiency in Microsoft Word, Excel, and PowerPoint. General computer literacy, including Windows, internet navigation, email, data entry, and typing. Strong verbal and written communication skills in English. Effective listening and interpersonal skills. Strong organization, time-management, and recordkeeping skills. Ability to enter, review, analyze, and maintain accurate data. Ability to follow detailed instructions and established procedures. Ability to work independently with minimal supervision. Ability to manage multiple responsibilities and meet deadlines. Ability to maintain confidentiality and professional boundaries. Ability to remain calm, patient, and respectful during challenging interactions. Minimum Qualifications Associate degree preferred. High School Diploma required. Previous administrative assistant, office support, education, social services, or related experience preferred. Must possess and maintain a valid state-issued driver's license. Must have reliable transportation and current vehicle insurance. Successful completion of a background check is required. Physical and Work Requirements Ability to work in an office and educational setting. Ability to sit, stand, walk throughout the facility, and use a computer for extended periods. Ability to occasionally attend off-site recruitment meetings, community events, or partner activities.
