POSITION OBJECTIVE
Working under the general direction of the Executive Director of Alumni Relations, the position of the Assistant Director of Alumni Relations and Outreach will direct, manage, and oversee a comprehensive alumni engagement program for the School of Medicine and its 16,000+ alumni from all programs which will also include friends of medicine and current parents of medical students. Duties will include working collaboratively and strategically with alumni relations colleagues across the university. Additional partnerships include but are not limited to donor relations, University Marketing and Communications, alumni volunteers, program volunteers, medical alumni board members, and leadership and faculty within the School of Medicine. The assistant director position will oversee and manage events, publications, and programs for advancement initiatives, as well as managing engagement efforts: carrying their own portfolio of alumni relations prospects--totaling 500 prospects. The assistant director works closely with the executive director of alumni outreach, vice dean for development, executive team, and all directors to assist with intersection of moving alumni from engagement to donors for increasing major gift fundraising. The assistant director will develop lasting relationships with alumni, donors, volunteers, and School of Medicine faculty and will plan engagement activities and events which will include executing stewardship activities to recognize and engage medical alumni, donors, and friends to encourage their financial support.
ESSENTIAL FUNCTIONS
Implement and manage customized engagement and stewardship strategies for a portfolio 500+ alumni and donors. Identify and plan opportunities to engage alumni and donors annually with communications, visits, calls, and/or events as appropriate within the medical school and in relation to the various medical school educational tracts, while advising on the best ways to do so. Partner with executive director of alumni outreach, major gifts officers, and other development colleagues as necessary and oversee customized alumni activities based on current initiatives and relationships at the School of Medicine. Direct and execute engagement and stewardship outreach that works with the major gift cultivation efforts. (40%) Plan and manage School of Medicine alumni relations Homecoming weekend events, medical alumni board activities, regional travel events and other related activities that connect alumni and students to the School of Medicine that enhance overall philanthropic giving. Collaborate with development colleagues and other internal partners to engage alumni, students, faculty, friends and staff in creating engagement opportunities that will result in increasing volunteers, reunion giving initiatives/class scholarship program, and future engagement opportunities to foster philanthropy at the leadership level. Create and manage all content to be sent to constituents necessary for the advancement of all alumni related events. (30%) Manage and execute the alumni and donor activities, alumni networks (affinity programs) within all School of Medicine programs with cultivation and special events as needed that prepares them for lifelong affinity with the school and university. (15%) Provide oversight and manage execution of alumni, volunteers and prospect recognition and acknowledgments and other high-level correspondence from senior leadership. Serve as the point of contact for development colleagues to transition constituents from engagement to donors. (10%)
NONESSENTIAL FUNCTIONS
Work with the University Marketing and Communication office, ensure marketing materials are created within university editorial and visual branding guidelines, such as direct mail pieces, alumni recognition materials, holiday cards, event notices, email, newsletters, and invitations.
