Omenn Department of Computational Medicine & Bioinformatics (DCMB) is seeking a full-time Administrative Specialist Intermediate who will serve as a student affairs representative who provides services for Bioinformatics graduate students and aids DCM&B with procurement responsibilities. The successful candidate will be one of two Student Service Representatives functionally reporting to the Bioinformatics Graduate Program Directors and administratively to the Chief Department Administrator. The Bioinformatics Graduate Programs Students enrolled in the Bioinformatics programs attend courses and conduct research, preparing students for a wide range of positions in private industry, government, and academia. The Bioinformatics Graduate Program administers a PhD, Master's, Dual Master's and Accelerated Master's Degree program; approximately of the student body is international. Responsibilities• Graduate Program Responsibilities - 70% Work under faculty and staff leadership to provide year-round student services support throughout their academic careers.
Responsibilities include:
Curriculum support Maintenance of alumni and student records Support admissions and recruitment activities for the PhD and MS programs Assist with documentation requests for MS and PhD students (e.g., International Center or internship needs) Assist with onboarding efforts of new MS and PhD students Serve as liaison to relevant units at the Registrar's Office, Rackham Graduate School, and the Office of Graduate and Postdoctoral Studies (OGPS) Communicate with students and facutly on a consistent basis Partner with faculty and staff to develop internal databases and procedural process improvements Answer inquiries from potential MS and PhD applicants Support MS and PhD students as needed in their academic pursuit This role provides administrative support to Graduate Program faculty leadership on graduate initiatives and processes. Procurement/Admin Responsibilities - 30% Process orders placed in Online Purchasing System (OPS) once financially approved Update OPS with requisition number, PO number, and other supporting documents Process Marketsite carts Reconcile PCard Assist with reimbursements for students Assist students with CTP for travel Assist with student room reservations Assist with department event planning (booking space, catering, speaker travel, etc.) Required Qualifications• Bachelor's degree 4-5 years experience working in higher education Experience working directly with graduate students, faculty, and department leadership Experience using CTP for student, staff, or faculty Experience creating Marketsite carts and placing order in MPathways Experience working with the Shared Services Center for processes such as reimbursements, HR, etc. Desired Qualifications• MS Degree 6-10 years experience working in higher education Experience using Online Purchasing System (OPS) for procurement Knowledge regarding University of Michigan policies, procedures, and regulations Familiarity with programs such as CollegeNet, DropBox, Google Suite Modes of Work Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department.
