Proposes policies, program fees and budgets for approval by a program board or administrative agency or implements policies of a national organization. Meets with parents and staff to discuss the development, learning and behavior of children in the program or center. Orders supplies and monitors maintenance and cleaning at a facility. Ensures that the program or center meets state and federal guidelines.

Join a Team Where the Details Make a Difference First Discovery Children's Academy is looking for a dependable, organized, and detail-oriented Office Manager to support our three Hampton Roads locations. This is a part-time, multi-location position working approximately 5 hours per day, Monday through Friday . The Office Manager will travel between our three Hampton Roads locations and must be willing and able to visit each location at least once per week . This position plays an important role in keeping the administrative side of our centers organized and running smoothly. You'll work closely with center leadership and our Regional Director to support billing, subsidy programs, child records, CACFP documentation, and compliance requirements across all three schools. Because we work in early childhood education, children always come first . While this is primarily an administrative position, the Office Manager must be comfortable stepping into a classroom and assisting with children when additional support or coverage is needed. What You'll Do As our Office Manager, you'll support several important areas of center operations, including: Managing and assisting with childcare subsidy billing, including DSS and MCCYN programs Collecting required family documentation and signatures for subsidy reimbursement Supporting CACFP documentation, enrollment forms, and meal count accuracy Reviewing new child files to ensure required enrollment and health documentation is complete Maintaining accurate child information and records within Playground Conducting classroom enrollment and attendance verification Assisting with monthly financial documentation and reconciliation Reviewing medication authorization records and helping ensure required forms remain current Processing and organizing administrative receipts and documentation Identifying missing documentation, discrepancies, or compliance concerns and following through to resolution Communicating regularly with center and regional leadership Providing administrative and compliance support across all three Hampton Roads locations Stepping into classrooms as needed to provide additional support, maintain ratios, or assist the center team Schedule & Travel Part-time, Monday through Friday Approximately 5-6 hours per day Must have reliable transportation and be comfortable traveling between our Hampton Roads locations Must visit each of our three locations at least once per week Schedule may vary based on the administrative and classroom needs of each center What We're Looking For The right person for this position is organized, accurate, dependable, flexible, and comfortable working independently . You should be equally comfortable reviewing paperwork in the office and jumping in to support a classroom when your team needs you.
Preferred qualifications include:
Previous administrative, office management, billing, or childcare experience Experience with childcare subsidy programs, CACFP, or childcare licensing documentation is a plus Experience working with children in a licensed childcare environment is strongly preferred Strong organizational and recordkeeping skills Comfortable working with spreadsheets, online systems, and electronic records Ability to manage deadlines and follow through independently Strong written and verbal communication skills Ability to identify missing or inaccurate information and take initiative to resolve it Reliable transportation and willingness to travel between all three locations Willingness and ability to work in a classroom and directly assist with children when needed Why First Discovery?
