Duties Serve as the front desk point of contact, greeting visitors and managing multi-line phone systems with professionalism and warmth Handle data entry and maintain accurate records using Microsoft Office applications and QuickBooks for bookkeeping purposes Manage calendar appointments, schedule meetings, and coordinate events related to pre-kindergarten program expansion Assist with office management tasks such as filing, proofreading documents, and organizing supplies to ensure an efficient workspace Support client communication by responding to inquiries via phone and email, providing excellent customer service and support Maintain confidentiality of sensitive information while handling administrative tasks with integrity and discretion Support personal assistant functions including calendar management, appointment scheduling, and document preparation Skills Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and QuickBooks for bookkeeping and financial tracking Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Bilingual abilities are highly desirable to serve diverse community needs effectively Previous office management or clerical experience, including data entry, filing, and document proofreading Exceptional customer service skills with professional phone etiquette and clear communication abilities Experience handling confidential information with discretion and integrity Strong time management skills with the ability to multitask efficiently while maintaining attention to detail This paid position offers an exciting opportunity to contribute meaningfully to early childhood education initiatives.
