Job Description
Project Engineer / Office Manager Sansalone & Associates LLC — Cincinnati, OH About the Position Sansalone & Associates LLC is a growing commercial construction and general contracting company specializing in hospitality, restaurant, and specialty construction projects. We are looking for a Project Engineer / Office Manager to become an important part of our day-to-day operations. This position is ideal for someone who is organized, proactive, detail-oriented, and enjoys being the person who keeps projects and people moving. This is not a traditional office manager position . You will work closely with the owner, project managers, field staff, subcontractors, architects, engineers, vendors, and clients to keep project information, documentation, purchasing, scheduling, and administrative responsibilities organized. The right person will be comfortable working in a fast-paced construction environment and, most importantly, will follow things through to completion . What You'll Do Project Administration Maintain project files, contracts, drawings, specifications, and correspondence Manage and track RFIs, submittals, change orders, meeting minutes, and project logs Maintain accurate project documentation in our project management systems Track outstanding information, decisions, and action items Help ensure project information gets to the right people at the right time Project Coordination Support the Project Manager and field team Coordinate with owners, architects, engineers, subcontractors, and vendors Track owner selections and owner-supplied materials Follow up on outstanding information and commitments Prepare meeting agendas and meeting minutes Help identify issues before they become problems Procurement & Subcontractor Administration Prepare and track purchase orders and subcontract agreements Obtain and organize subcontractor and vendor pricing Track material and equipment lead times Maintain procurement logs Coordinate deliveries with the field Collect insurance, lien waivers, W-9s, and other required documentation Financial & Billing Support Track purchase orders, commitments, invoices, and subcontractor billings Assist with monthly project billing Maintain change-order and cost-tracking logs Coordinate with bookkeeping/accounting Assist with project closeout and final financial reconciliation Office Management Maintain an organized and professional office environment Manage calendars, meetings, correspondence, and general administrative needs Maintain company records and files Order office supplies and coordinate office services Assist with employee onboarding and administrative documentation Maintain company forms, templates, and procedures Systems & Process Improvement Maintain project information in Buildertrend and other company systems Help establish consistent filing and documentation standards Develop and maintain Standard Operating Procedures (SOPs) Identify opportunities to improve how we organize and manage projects Help ensure the team is consistently using our systems and processes Project Closeout Track punch-list and closeout items Collect warranties, O&M manuals, lien waivers, and other closeout documents Assist with final inspections and owner turnover Help bring projects to a complete administrative and financial close What We're Looking For 3+ years of experience in construction administration, project coordination, project engineering, office management, or a related field Construction industry experience strongly preferred Excellent organizational and follow-through skills Strong written and verbal communication skills Ability to manage multiple projects and priorities Comfortable working with subcontractors, vendors, architects, engineers, and clients Strong attention to detail Proficiency with Microsoft Office Experience with construction/project management software is a plus Ability to learn new systems and processes quickly Ability to work independently and take ownership of responsibilities The Person We're Looking For We are looking for someone who sees what needs to be done and does it . You don't need to know everything about construction on day one. You do need to be curious, organized, dependable, and willing to ask questions. You should be comfortable making a phone call, sending the follow-up email, checking on the status of an order, organizing the information, and making sure the issue doesn't get forgotten. If you enjoy creating order out of chaos and take pride in keeping a team organized, this could be a great fit.
