This pivotal role combines overseeing daily office functions with managing comprehensive accounting responsibilities, ensuring smooth workflows, accurate financial reporting, and efficient resource allocation. The ideal candidate will bring energetic leadership, exceptional organizational skills, and a proactive approach to problem-solving, fostering a productive and positive office environment. This position offers an exciting opportunity to influence operational excellence while maintaining rigorous financial integrity. Duties Manage all aspects of office administration, including front desk operations, multi-line phone systems, calendar management, filing, and clerical support. Supervise administrative staff and coordinate training & development initiatives to enhance team performance. Oversee vendor management, including negotiating contracts, processing invoices, and maintaining professional relationships with service providers. Plan and coordinate company events, meetings, and special functions to promote team engagement and organizational visibility. Handle human resources functions such as onboarding new employees, managing confidential personnel information, and supporting HR compliance. Oversee bookkeeping tasks using accounting software to ensure accurate record-keeping. Prepare detailed financial reports, budgets, and forecasts; monitor expenses; perform payroll processing; and ensure compliance with financial policies. Maintain strict confidentiality of sensitive information while communicating effectively with clients, vendors, and team members. Utilize Microsoft Office tools and spreadsheets for data analysis, reporting, and record management to support strategic decision-making. Experience Proven experience in office management combined with accounting or finance roles Demonstrated experience "managing up" within an office environment. Proficiency in accounting software with strong skills in Microsoft Office Suite—especially Excel spreadsheets. Extensive experience in bookkeeping, budgeting, payroll processing, vendor management, and handling confidential information. Strong organizational skills with the ability to manage multiple priorities efficiently in a fast-paced setting. Excellent communication skills—both verbal and written—and professional phone etiquette for client interactions. Background in event planning, human resources functions, and administrative support is highly desirable.
