You do not need to have years of construction, restoration, or accounting experience to be successful in this role. We are looking for someone who is smart, driven, detail-oriented, comfortable with numbers and technology, and excited by the opportunity to learn how a growing restoration and construction company operates from the inside. If you are looking for a role where you can take ownership, work directly with company leadership, learn quickly, and create a real path for advancement, this may be a great fit. What You'll Be Doing This role supports our operations, project management, accounting, and technology systems. You will help make sure new projects are set up correctly, project information stays organized, client billing stays on track, job-cost information is properly documented, and our internal systems remain accurate.
Responsibilities will include:
Setting up new projects and clients in our internal systems. Maintaining accurate project information, contract values, contacts, documentation, and billing information. Tracking client invoices, billing milestones, payments, and outstanding balances. Helping ensure invoices are prepared and sent when projects reach billing milestones. Maintaining organized digital project files and documentation. Assisting project managers and leadership with project administration and operational support. Performing data entry and maintaining accurate company and project records. Handling miscellaneous office coordination, documentation, and administrative needs. Following up internally when project information, documentation, or billing details are missing. Accounting & Job Costing Support This position will work closely with our bookkeeper and leadership team but will not be responsible for owning the entire accounting function .
You will:
Assist our bookkeeper with day-to-day accounting and project financial administration. Help maintain accurate job-cost information. Track and organize vendor invoices, client invoices, expenses, payments, and supporting documentation. Help ensure project-related costs and expenses are associated with the correct job. Coordinate with project managers and our bookkeeper to resolve missing information or discrepancies. Maintain accurate operational data so our bookkeeping and financial reporting stay current. RapidGuard AI A major part of this position will be helping maintain and onboard clients and projects into RapidGuard AI , BBI's technology platform for project, property, and client information.
You will help:
Onboard new clients and properties. Set up and maintain projects within the platform. Create and maintain user accounts. Upload and organize project and property documentation. Maintain accurate client, property, and project data. Help clients and employees learn how to use the system. Identify missing or inaccurate information. Work with leadership and our technology team as we continue improving the platform. You do not need previous experience with specialized AI software. We will teach you the system. What matters is that you are comfortable learning technology and enjoy figuring out how systems work. Experience with QuickBooks, invoicing, accounts receivable, job costing, construction, restoration, project administration, or accounting is helpful, but not required for the right candidate. A degree in accounting, finance, business, construction management, analytics, or a related field is a plus, but we are open to candidates from different backgrounds.
