Job Overview BASE Seafood is seeking an experienced, highly organized Vessel Accounting & Administrative Specialist to join our accounting and vessel operations team under our sister company RCC Shoreside Services, LLC. This position will be assigned a portfolio of commercial fishing vessels and will be responsible for the day-to-day accounting and administrative functions associated with those vessels. The Vessel Accounting & Administrative Specialist will work closely with vessel managers, captains, crew members, vendors, and the accounting team to ensure vessel expenses are accurately recorded, trip settlements are completed timely, documentation is properly maintained, and administrative needs are handled efficiently. This is a hands-on position requiring strong bookkeeping experience, excellent organizational skills, attention to detail, and the ability to manage multiple priorities. QuickBooks experience is required.
Key Responsibilities:
Vessel Accounting & Bookkeeping Maintain day-to-day accounting activity for an assigned portfolio of vessels. Enter vendor bills and expenses into QuickBooks accurately and timely. Ensure expenses are coded to the correct vessel, account, and trip when applicable. Review invoices for proper documentation and required approvals. Assist with accounts payable and preparation of vessel-related invoices for payment. Review vendor statements and identify missing invoices, credits, duplicate charges, or outstanding balances. Assist with vendor and account reconciliations. Review and reconcile company credit card activity associated with assigned vessels. Follow up on missing receipts, invoices, approvals, and other supporting documentation. Maintain accurate and organized accounting records for each assigned vessel. Vessel Settlements Prepare and complete vessel trip settlements for assigned vessels. Gather and review trip expenses and other supporting information required to complete settlements. Ensure expenses are properly allocated to the appropriate vessel and trip. Work with vessel managers and other members of the accounting team to resolve settlement discrepancies. Maintain supporting documentation for completed settlements. Ensure settlements are completed accurately and within established timelines. Respond to questions from captains and crew regarding settlements and related documentation. Crew & Vessel Administration Serve as an administrative point of contact for the captains and crew of assigned vessels. Assist crew members with routine paperwork, documentation, and administrative questions. Assist with onboarding paperwork and collection of required documentation for new crew members. Maintain organized vessel and crew files. Track outstanding paperwork and follow up with captains, crew members, and vessel managers as necessary. Maintain electronic and physical records related to vessel operations. Assist with documentation related to vessel repairs, supplies, trip expenses, and other operating activity. Communicate professionally and effectively with crew members, vessel managers, and management. Vendor & Office Administration Communicate with vendors regarding invoices, statements, credits, and account questions. Maintain organized vendor records, including W-9s and other required documentation. Scan, file, and maintain invoices, receipts, statements, settlements, and other vessel records. Assist with mail, phones, document management, and other general office responsibilities as needed. Work with the accounting team to ensure vessel records are complete and ready for month-end accounting. Assist management with special projects and other administrative responsibilities as needed Qualifications Prior bookkeeping or accounting experience required. QuickBooks experience required. Experience with accounts payable and vendor management. Strong organizational and office administration skills. Strong attention to detail and accuracy. Ability to manage multiple companies, vessels, and priorities simultaneously. Ability to work independently and take ownership of assigned responsibilities. Strong follow-through and willingness to proactively resolve outstanding items. Strong written and verbal communication skills. Comfortable communicating with captains, crew members, vendors, vessel managers, and management. Proficient with Microsoft Excel, Outlook, and general office technology. Ability to maintain confidentiality regarding financial and employee information. Preferred Experience 3+ years of bookkeeping, accounting support, or similar experience. Experience using QuickBooks Online. Experience working in a multi-company or multi-entity accounting environment. Commercial fishing, marine, construction, transportation, property accounting, or other operations-heavy industry experience is a plus. Ideal Candidate The ideal candidate is an experienced bookkeeping professional who is highly organized, detail-oriented, dependable, and comfortable taking ownership of a portfolio of vessels. This person should not simply wait for paperwork to arrive. They should actively identify what is missing, follow up with the appropriate person, resolve discrepancies, and make sure their vessels' accounting and administrative responsibilities are completed accurately and on time. The successful candidate will be comfortable working in a fast-paced environment where priorities can change quickly and communication with both office personnel and vessel crews is an important part of the job.
Pay:
$65,000.00 - $70,000.00 per year
