Staff Accountant and Contract Administrator (AI-Enabled)

Virginia Beach, VA About Us We are a small, growing technology company delivering cloud and IT services as a subcontractor to AWS and to prime contractors supporting federal programs. We run our business with AI. Every member of our team uses AI platforms daily to work faster, reduce errors, and keep the company lean. Team members cross-train and support one another, using AI to step in wherever the work requires. Position Summary We are seeking an experienced bookkeeper or staff accountant to manage our day-to-day accounting and contract administration. This is a traditional accounting role performed in a modern way. You will own accounts payable and receivable, invoicing, reconciliations, month-end close, and contract records in PROCAS, and you will use AI platforms such as Claude, Grok, and our internal AI tools to process that work faster and verify it for accuracy. You understand the accounting behind every entry, and you use AI to get it done better, not to replace your judgment. Accounting Responsibilities Process accounts payable and accounts receivable, prepare and submit invoices, and monitor collections, using AI tools to speed up data entry, matching, and follow-up. Perform bank, credit card, and general ledger reconciliations with AI-assisted workflows, and investigate and resolve every variance. Prepare journal entries, supporting schedules, and month-end close tasks, using AI to draft, cross-check, and flag exceptions. Support payroll accounting, labor distribution, project cost tracking, indirect cost tracking, and budgeting. Maintain projects, contracts, and employee records in PROCAS and keep them reconciled to source documents. Produce accurate financial reports for management, using AI to assemble data and summarize results. Contract Administration Maintain organized files for subcontracts and prime agreements, including SOWs, task orders, rate cards, purchase orders, modifications, funding, and periods of performance. Prepare billings in line with each contract's invoicing requirements and submit them to AWS, prime contractors, and commercial customers. Track deliverables, renewals, funding limits, and key dates, using AI-driven reminders and tracking. Apply basic government contracting requirements to our federal subcontract work, including contract billing, timekeeping, and flowdown clauses. Escalate discrepancies, funding concerns, and approaching deadlines to management. AI in This Role Use AI platforms daily as a standard part of how accounting and contract work gets done. Review every AI-generated output against source records before it is posted, submitted, or relied on. You are accountable for the accuracy of the books. Identify repetitive tasks and turn them into reliable AI-assisted workflows, with clear written steps others can follow. Keep templates, checklists, and procedures organized so our AI tools work from clean, consistent data. Learn the basics of other team members' roles so you can provide coverage with AI assistance when needed. Handle confidential financial, employee, customer, and contract information responsibly and follow company access procedures. Required Qualifications 2 or more years of bookkeeping or accounting experience. Solid understanding of accounting fundamentals, including double-entry bookkeeping, accruals, reconciliations, and month-end close. Hands-on experience with accounting software, and the ability to become proficient in PROCAS. Current, regular use of AI platforms such as Claude, ChatGPT, Grok, or Copilot, or clear evidence that you learn new technology quickly and are committed to working AI-first. Proficiency in Microsoft Excel and Microsoft 365. Strong attention to detail and the judgment to catch errors, including errors made by AI. Clear written communication and the discretion to handle sensitive information. Preferred Qualifications PROCAS experience. Understanding of government contracting basics, including contract billing, labor distribution, timekeeping requirements, and FAR flowdowns. Accounting credentials or coursework, such as an accounting degree, Certified Bookkeeper, QuickBooks ProAdvisor, or similar. Experience building AI-assisted workflows, prompts, or automations for accounting or back-office tasks.
