We manage a diverse portfolio of apartment and commercial properties, prioritizing excellent tenant relationships and organized operations. We are looking for a detail-oriented and dynamic professional to join our close-knit team immediately. This role is an excellent fit for someone eager to leverage their accounting expertise while supporting property management operations within a small family office environment. Role Overview This is a multi-faceted role where no two days are the same. You will handle our day-to-day QuickBooks accounting, keep our front office running smoothly, and assist with light apartment property management duties. The ideal candidate is a proactive problem-solver who thrives on managing multiple priorities at once. Key Responsibilities Accounting & Bookkeeping Manage daily accounting, financial record-keeping, and full-cycle AP/AR using QuickBooks. Reconcile bank statements and tenant ledgers accurately. Oversee monthly rent collection, track past-due balances, and process bank deposits. Prepare and issue annual 1099s for vendors and contractors. Maintain organized records of financial transactions, including debits & credits, journal entries, and account reconciliations. Property Management Support Coordinate minor repairs, maintenance scheduling, and tenant correspondence. Market vacant apartment units across listing platforms to minimize vacancy. Assist with tenant vetting, lease tracking, and lease preparation. Handle bill-backs, assist with CAM billings, issue rent increase letters, draft and send building notices, and perform light legal tasks (e.g., 3-day notices). Utilize DoorLoop to track tenant records, payments, and histories. Office Administration Serve as the primary point of contact by answering and routing phone calls. Maintain digital and physical filing systems using SharePoint and office folders. Monitor and replenish office supplies to ensure seamless daily operations.
Requirements & Qualifications Education:
Bachelor's degree required.
Experience:
Minimum 3 years of bookkeeping experience (including AP/AR) AND minimum 1 year of general property management experience.
Financial Knowledge:
Strong understanding of debits/credits, account analysis, and reconciliation processes.
Key Skills:
Exceptionally organized, keen attention to detail, excellent multitasker, and a natural aptitude for numbers.
Software Skills:
Strong proficiency in QuickBooks and SharePoint is required. Experience with DoorLoop is highly preferred. Advanced proficiency with spreadsheets (Excel) required.
Availability:
Must be able to start ASAP.
Crucial:
