Job Description
Job Overview We are seeking a detail-oriented and proactive Office Assistant to join our team. The ideal candidate will play a crucial role in supporting daily office operations, ensuring efficient workflow, and providing exceptional customer service. This position requires strong organizational skills, proficiency in various office software, and the ability to handle multiple tasks simultaneously in a fast-paced environment. The hours are Monday-Friday 8am-5pm with a one hour lunch. Duties Manage front desk operations, greeting visitors and handling inquiries with professionalism. Operate multi-line phone systems to manage incoming calls and direct them appropriately. Perform data entry tasks accurately and efficiently including driver payroll, accounts payables, accounts receivables, and billing. Assist with filing, organizing documents, and maintaining an orderly office environment. Provide administrative support including calendar management for employee time off and basic HR functions such as administering health insurance plans to new hires Proofread documents for accuracy and clarity before distribution or filing. Collaborate with team members to ensure smooth office operations and assist in various projects as needed. Skills Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications. Strong computer literacy with the ability to quickly learn new software programs. Excellent organizational skills with a keen attention to detail. Effective time management skills to prioritize tasks efficiently. Experience in clerical duties and administrative roles. Knowledge of phone etiquette and customer service best practices to foster positive interactions. Typing proficiency with the ability to produce accurate documents quickly. Familiarity with office management practices and procedures is beneficial.
