Accounting & Administration Lead Position Summary Illuminology is seeking an experienced, detail-oriented Accounting & Business Operations Specialist to support our financial and administrative operations. This position will work directly with our Accounting & Administration Lead, initially assisting with day-to-day responsibilities while learning the systems and processes that keep our business running. Our long-term goal is to develop two fully cross-trained team members who can confidently handle the company's essential accounting and administrative functions, provide coverage for one another, and share responsibilities on a rotating basis. Key ResponsibilitiesAccounting & Financial Operations Perform accounts payable and accounts receivable activities, including invoice processing, payment tracking, and customer and vendor account follow-up. Maintain accurate records in QuickBooks Online, including transaction coding, reconciliations, and general ledger entries. Assist with financial reporting, including profit and loss statements, balance sheets, and supporting schedules. Learn and provide backup coverage for payroll processing and related administrative tasks. Support accurate recordkeeping, timely financial close activities, and consistent accounting procedures. Purchasing & Business Administration Assist with purchasing activities, purchase order creation, and related vendor documentation. Support product and customer onboarding processes, including required records, forms, and system setup. Learn the administrative processes associated with benefits, recurring filings, and routine business compliance requirements. Help maintain organized, accurate, and accessible business records. Cross-Training & Business Continuity Work closely with the Accounting & Administration Lead to learn the full range of the position's recurring responsibilities. Document key procedures, deadlines, and workflows so essential tasks can be completed consistently by either team member. Gradually assume independent responsibility for assigned accounting and administrative functions. Once fully trained, participate in a rotating responsibility schedule in which the two team members alternate primary ownership of designated duties, with each able to provide backup coverage for the other. Identify opportunities to improve accuracy, efficiency, and continuity in the company's financial and administrative processes. Required Qualifications Hands-on experience with QuickBooks Online. Previous experience in bookkeeping, accounting, or a similar financial administration role. Working knowledge of accounts payable, accounts receivable, general ledger activities, and account reconciliations. Strong attention to detail and a commitment to accurate, timely work. Ability to handle confidential financial, payroll, and employee information professionally. Strong organizational skills and the ability to learn and follow established processes. Comfortable working independently after training while collaborating closely with a small team. Experience with payroll, financial statement preparation, purchasing, benefits administration, or small-business accounting is a plus. What Success Looks Like The person in this role will: Become proficient in Illuminology's accounting systems and recurring financial processes. Complete assigned accounting and administrative work accurately and on time. Develop the ability to independently handle essential responsibilities when the Accounting & Administration Lead is unavailable. Help establish clear, documented procedures and dependable backup coverage. Build toward a shared, rotating workload in which both team members remain actively knowledgeable about the business's financial and administrative operations. Working Style We're looking for someone who is dependable, discreet, thorough, and comfortable taking ownership of important work. This person should be willing to learn a broad range of responsibilities rather than specialize in only one accounting function. The position is part-time, but its contribution to the business is significant. The right candidate will become a trusted partner in maintaining the accuracy, consistency, and continuity of our financial operations.
Pay:
$19.00 - $21.00 per hour Expected hours: 15.0 - 25.0 per week
