To maintain and operate the Student Data Base in such a manner that maximum use can be made of it at all times. Ensures prompt and accurate processing of invoices for tuitions and other miscellaneous billing to sending districts and other various vendors. 1. Ensures that input data and files of student information are entered as required in order to maintain adequate flow of information to district staff as needed. 2. Observes system operations and determines whether program appears to be operating correctly. 3. Communicates frequently with sending district personnel to ensure that all student information is current and accurate. 4. Advises appropriate district personnel of any changes, additions, deletions, etc., in student information, including billing information. 5. Maintains an accurate accounting of enrollments/dis-enrollments for the proper upkeep of the student database files. 6. Updates current enrollment information for transmittal to the State Department of Education via the DOENET for the purpose of tuition billing (CSSD). 7. Responsible for the accuracy and auditing of the school attendance registers and the preparation and dissemination of monthly and yearly attendance reports to the appropriate school district and the State Department of Education. 8. Assists with the completion of reports as required by Administration and/or the Board of Education, i.e. ASSA, Fall Report, monthly enrollment reports, at the direction of the School 9. Types tuition contracts and submits to the sending districts. 10. Assists in the coordination of the computer systems and software as it pertains to student database functions. Analyzes potential problems and takes corrective action as needed. 11. Prepares and submits tuition and miscellaneous billing to sending districts and vendors as appropriate. 12. Records, maintains and invoices districts for work-study and bus/train passes. 13. Resolves any discrepancy in billings that may occur regarding student status/miscellaneous billings and issues an adjusting invoice if required. 14. Maintains a filing system for all billing tuition contracts and other related accounts receivable documents and correspondence. 15. Deposits all school monies to appropriate account(s) on a daily basis. 16. Assists in the proper maintenance of the Student Activity Fund in accordance with Board Policy and Procedure. 17. Composes, compiles and types correspondence and reports as it applies to bookkeeping functions at the direction of the School Business Administrator/Board Secretary. 18. Provides assistance to district personnel with business operations as related to job title function. 19. Assists the School Business Administrator/Board Secretary in the preparation of the annual audit and submits documents as requested in all areas of responsibility 20. Works cooperatively with other administrators/supervisors on problems of mutual interest Business Administrator/Board Secretary. and concern and distributes financial reports to administrators/supervisors on a monthly basis.
