The Accounting Coordinator is the primary executor of NAMI Minnesota's day-to-day financial transactions, working under the direction of the Controller. This role is responsible for the accurate, timely processing of financial activity across three key areas: Bookkeeping, payroll support, and operations support. Job Responsibilities (Not an exhaustive list. Percentages are approximate.) Bookkeeping (75%) Process accounts payable and receivable transactions on a daily and weekly basis, including: Collect, code, and maintain documentation for all expenses Process purchase requests and route for approval per established procedures Set up new vendors and assign accounting codes for grants, income, and expenses; ensure all revenue and expenses are accurately coded to the correct programs and grants Prepare and send invoices, including for honorariums; reconcile open invoices against weekly deposits Prepare and distribute monthly aging AP and AR reports; flag and follow up on overdue accounts with Controller Process EFT/ACH transactions and maintain coding records Track and reconcile company credit cards and receipts per operating policies; submit reconciliation to Controller Prepare and distribute monthly finance reports to affiliates Follow all financial policies and procedures; flag any exceptions or discrepancies to the controller Monitor invoices email inbox and Teams messaging, respond to internal and external invoice inquiries. Support annual budget preparation by compiling historical data Gather and transmit financial records to the controller monthly and as needed; assist with allocations and journal entries under Controller's direction Pull ad hoc financial statements from QuickBooks as directed; support Development, Outreach, and Program teams with transaction-level financial data for events, affiliates, grants, and honorariums Benefits Administration and Payroll Support (25%) Review employee timekeeping using ClickTime, including updating vacation and sick accruals, holidays, and employee status changes. Serve as primary point of contact for employee questions about the timekeeping system.
Qualifications Required:
At least two (2) years of relevant experience, or an equivalent combination of education, training, and experience. Associate's degree or equivalent combination of education and training preferred. Experience with QuickBooks or other accounting software, including working knowledge of journal entries, accounts payable/receivable, and financial reporting. Experience with payroll processing systems; familiarity with PayEntry, and time tracking systems preferred. Proficiency with Microsoft Office Suite; strong skills in Excel or other spreadsheet applications. Strong attention to detail and accuracy, with the ability to maintain thorough and organized financial records. Knowledge of Generally Accepted Accounting Principles (GAAP) and internal financial controls. Strong organizational skills and ability to manage multiple priorities, deadlines, and responsibilities. Excellent written and verbal communication skills, with the ability to communicate financial information clearly and professionally. Ability to build trusted, collaborative relationships with colleagues, vendors, and contractors.
