Job Description

Overview Join our finance team in a role that offers both stability and future flexibility. As an Accounts Payable Specialist, you will manage the full cycle of outgoing payments, ensuring accuracy and vendor satisfaction. This full-time position begins as an in-office role in Western New York , with a planned transition to fully remote work during 2026. The Impact You'll Make AP Management (90%): You will own the full accounts payable lifecycle—from invoice coding and ERP entry to executing weekly check runs, posting electronic payments, and managing year-end 1099 reporting. AR Support (5%): Provide critical backup for the Accounts Receivable function on an as-needed basis, ensuring customer invoicing remains seamless. Operational Support (5%): Support the front-office environment by managing incoming/outgoing mail and providing receptionist coverage (greeting guests).
Key Responsibilities Full-Cycle AP:
Stamp, code, and match invoices against POs and packing lists. Proactively resolve price/quantity discrepancies and obtain appropriate approvals for all non-PO invoices.
Vendor Relations:
Review vendor statements for accuracy, research missing invoices, and serve as the primary point of contact for vendor inquiries.
System Integrity:
Maintain real-time financial accuracy through precise data entry into the ERP system and diligent maintenance of AP aging reports.
Payment Processing:
Generate weekly check runs, facilitate electronic payments, obtain CFO approvals, and manage the secure distribution of funds.
Compliance & Reporting:
Prepare month-end accruals, manage W-9 collection/onboarding, and lead the preparation of annual 1099 forms.
Record Keeping:
Maintain organized digital and physical vendor files, including contracts, tax documentation, and archived records.
Qualifications Experience:
4+ years of dedicated Accounts Payable experience. Experience in Accounts Receivable is a significant plus.
Systems:
SAP ERP experience is strongly preferred. Proficiency in MS Excel and the broader Office suite is required.
Education:
Associate degree in Accounting or Business Administration (preferred).
Precision:
High-speed data entry skills with a "100% accuracy" mindset and strong organizational habits.
Communication:
A professional presence with the ability to collaborate across departments and resolve vendor issues with tact and urgency.
Remote Readiness:
The ability to work effectively in-office today while possessing the self-motivation and discipline to transition to a fully independent, remote environment in 2026.
Pay:
$21.00 - $24.00 per hour
