Our operations include residential homebuilding and land development, supporting projects through site work, land clearing, grading, erosion control, infrastructure development, and the construction of quality homes throughout the Greater Columbia area. As our company continues to grow, we are seeking a dependable and detail-oriented Accounts Payable & Data Entry Specialist to join our administrative team at our Elgin, SC office. This is an excellent opportunity for someone who enjoys working with numbers, thrives on accuracy and organization, and wants to build their accounting and administrative experience within a growing company. Position Summary The Accounts Payable & Data Entry Specialist provides day-to-day administrative and accounting support with a primary focus on invoice entry, job-cost coding, transaction processing, reconciliation, and accurate financial data entry. This position is responsible for processing a high volume of detailed financial information while ensuring invoices and transactions are properly documented, coded, entered, and routed for timely payment. The ideal candidate is highly organized, comfortable working with numbers and repetitive data, and able to maintain a high level of accuracy even when managing multiple priorities and deadlines. Success in this role requires someone who pays attention to the small details, recognizes when something does not look right, and takes the initiative to research discrepancies rather than simply entering information as presented. Key Responsibilities Accurately enter vendor invoices and other financial information into company systems. Review invoices for completeness and accuracy before processing. Ensure invoices are assigned to the appropriate job, cost code, account, or project. Verify trade and vendor invoices against applicable work orders, purchase orders, vendor quotes, and supporting documentation. Identify discrepancies involving quantities, pricing, coding, approvals, or supporting documentation and communicate concerns before processing. Schedule approved invoices for timely payment in accordance with established company procedures. Process monthly recurring expenses, including utilities, insurance, and other recurring or automated payments. Accurately enter and code company credit card transactions. Process employee expense reports and reimbursements for payment. Enter permit-related transactions and other project-specific expenses. Reconcile invoices, transactions, statements, and supporting documentation as assigned. Research missing information, duplicate invoices, past-due balances, payment discrepancies, and other account questions. Communicate professionally with vendors regarding invoice discrepancies, missing documentation, account balances, and payment-related questions. Maintain organized and accurate electronic and/or physical accounting records. Prepare and process bank deposits as assigned. Assist with maintaining vendor information and documentation. Support month-end accounting activities by ensuring assigned invoices and transactions are entered accurately and timely. Follow established approval processes and internal controls before processing financial transactions. Protect confidential company, vendor, employee, and financial information. Assist the accounting and administrative teams with data entry, reporting, filing, and other duties as business needs require. Conduct all business professionally, ethically, and with a focus on accuracy and accountability. Required Qualifications Minimum of 1 year of professional experience in accounts payable, accounting support, bookkeeping, financial data entry, or a similar administrative role. Previous experience entering and processing invoices. Strong data-entry skills with the ability to accurately process large volumes of numerical and financial information. High level of attention to detail and commitment to accuracy. Ability to identify discrepancies and research information before completing a transaction. Strong organizational and time-management skills. Ability to prioritize multiple responsibilities and consistently meet deadlines. Ability to follow established processes and written and verbal instructions. Comfortable working independently while also contributing as part of an administrative and accounting team. Professional written and verbal communication skills. Proficiency with G-Suite (Gmail, Google Docs, etc.) Ability to maintain confidentiality when handling financial and business information. Reliable attendance and dependable transportation to our Elgin, SC office. Preferred Qualifications Previous accounts payable experience in construction, homebuilding, land development, or a related industry Experience with job-cost accounting or job-cost coding Experience matching invoices to purchase orders, work orders, and vendor quotes Experience processing credit card transactions and expense reports Experience with vendor account reconciliation Experience processing recurring expenses and automated payments Familiarity with construction accounting terminology and processes Experience working in a high-volume invoice or data-entry environment Experience with accounting, ERP, construction management, or accounts payable software What We're Looking For The right person for this position does not simply enter numbers.
