Job Description

Accounting Specialist - Job Description We are seeking a detail-oriented and organized Accounting Specialist to oversee a wide range of accounting, payroll, financial, real estate, and administrative functions across multiple companies. This position is responsible for maintaining accurate financial records, processing transactions and payments, performing reconciliations, supporting financial reporting, and ensuring timely completion of accounting and operational tasks. Key Responsibilities Perform general ledger accounting, account analysis, journal entries, and bank and credit card reconciliations for 12 accounts on a weekly and monthly basis. Manage accounts payable and accounts receivable, including invoices, receipts, payments, collections, owner draws, and vendor payments. Process incoming rent, commission, and other payments, including office receipts and bank deposits. Review and process Commission Disbursement Authorization (CDA) requests and commission payments to agents, outside brokers, and referral partners. Process weekly employee payroll and maintain PTO and employee loan records. Review agent fee tracking to ensure all fees owed to the company are received and accurately recorded. Process invoices and receipts in QuickBooks, ensuring transactions are posted to the correct accounts and classes. Ensure all company payments are processed accurately and by their due dates, including Positive Pay processing. Review, audit, and follow up on property management work orders, security deposits, pet fees, and related transactions. Maintain accurate closing records and financial documentation for company transactions. Review property files regularly to identify missing or outdated documentation and maintain organized records. Request and maintain updated W-9 information from vendors and payees for accurate tax reporting. Organize, maintain, and archive company records, including storage files and document retention. Qualifications Experience in accounting, bookkeeping, finance, or a related field. Strong understanding of debits and credits, double-entry bookkeeping, journal entries, reconciliations, and financial reporting . Proficiency with QuickBooks, Microsoft Excel, and other accounting software . Strong attention to detail and ability to identify discrepancies and resolve accounting issues. Excellent organizational and time-management skills with the ability to manage multiple priorities and deadlines. Ability to handle confidential financial, employee, and company information with professionalism and discretion. Strong communication and problem-solving skills. Ability to work independently while collaborating effectively with management, employees, agents, vendors, property owners, and outside professionals.
