Position Summary Disrupt Foods is seeking a highly organized and dependable Administrative & Compliance Coordinator to support the day-to-day administrative needs of our multi-unit restaurant organization. This position manages a variety of responsibilities, including processing mail, coordinating bill payments, responding to 3rd party information requests and maintaining compliance with business licenses and permits. The ideal candidate is detail-oriented, comfortable managing competing priorities, and proactive about following up on deadlines. Because responsibilities may change based on the needs of the business, this person must be flexible, resourceful, and willing to assist across multiple departments and restaurant locations. Key Responsibilities Open and Sort Incoming Mail including responding to information requests and bills and routing the other mail and notices to the appropriate person (i.e. payroll, accountant, etc.) Monitor shared administrative email accounts and respond to or route requests as appropriate. Handle sensitive business and employee information with discretion and confidentiality. Confirm that invoices received have the required documentation and approvals before payment. Escalate discrepancies, unusual charges, and urgent payment matters to management. Assist with account reconciliations and requests for payment documentation. Maintain a centralized tracker for licenses, permits, certificates, inspections, and renewal deadlines for all restaurant locations. Submit renewal applications and supporting documentation by the applicable deadlines. Prepare administrative and compliance status reports for management. Assist with special projects and other duties based on the needs of the business. Required Qualifications Associate or bachelor's degree preferred. At least two years of administrative, office coordination, accounts payable, compliance, or related experience preferred. Strong organizational skills and attention to detail. Ability to manage multiple deadlines across numerous restaurant locations. Strong written and verbal communication skills. Ability to follow established procedures and escalate issues appropriately. Sound judgment when handling confidential employee, financial, and business information. Proficiency with Microsoft Office or Google Workspace, particularly Excel or Google Sheets. Experience supporting a multi-unit restaurant, retail, franchise, or hospitality organization is preferred.
