Mission-Driven Healthcare Organization | Colorado Springs, CO pH Wellness is seeking a highly capable, organized, and versatile Finance & Accounting Manager to become a trusted part of our leadership team. We are a growing, mission-driven healthcare organization serving children, families, and individuals with diverse needs throughout Colorado. As we continue to restructure and strengthen our operations, we are looking for someone who can bring financial clarity, accountability, organization, and practical problem-solving to our company. This is not simply a bookkeeping position. We are looking for a person who can work directly with the owner , understand the bigger financial picture of the organization, and serve as the internal overseer of our financial systems , including bookkeeping, payroll coordination, Medicaid billing/reimbursement processes, accounts receivable, and financial reporting. We would especially value someone who is holistic in their thinking, flexible, resourceful, and comfortable wearing multiple hats. What You'll DoFinancial Oversight & Accounting Oversee day-to-day financial operations and bookkeeping. Maintain and review QuickBooks and related financial systems. Reconcile accounts and ensure financial records are accurate and current. Monitor accounts payable, accounts receivable, cash flow, and outstanding balances. Prepare financial reports and summaries that help the owner understand the financial health of the organization. Identify discrepancies, problems, or financial risks and help develop solutions. Assist with budgeting, forecasting, and financial planning. Help organize financial information needed for year-end accounting and tax preparation. Medicaid Billing & Revenue Cycle Oversight Oversee the systems and personnel responsible for Medicaid billing and reimbursement . Monitor claims, denials, outstanding balances, and reimbursement issues. Work with our billing/clearinghouse systems, including Waystar , and help ensure problems are identified and resolved. Coordinate with internal staff and outside billing/accounting professionals as needed. Track the flow from services provided → documentation → billing → reimbursement → payment. Help identify patterns that may be causing delayed or lost revenue. Payroll & Contractor Financial Administration Oversee payroll processes and ensure information is accurate and timely. Coordinate with the appropriate payroll provider/system. Review payroll-related reports and reconcile payroll expenses. Help maintain accurate contractor payment records and documentation. Work collaboratively with outside financial professionals rather than duplicating their role. Owner & Leadership Support Serve as a financial thought partner to the owner . Translate financial information into understandable, actionable information. Help the owner see what needs attention before it becomes a larger problem. Bring organization and structure to a financial department that is currently being rebuilt. Help establish reliable financial procedures, checks and balances, and accountability. Be comfortable saying, "I see a problem here—let's figure out why." The Person We're Looking For We are looking for someone who is: Local to Colorado Springs or the surrounding area and able to communicate directly with the owner. Experienced with QuickBooks and modern accounting/financial systems. Comfortable working with payroll, accounts receivable/payable, and financial reporting. Familiar with healthcare, Medicaid, medical billing, or insurance reimbursement strongly preferred. Analytical without being rigid. Highly organized and detail-oriented. A strong communicator who can explain financial information in plain language. Comfortable working independently and taking initiative. Able to troubleshoot systems and chase down a problem until it is resolved . Flexible enough to work across accounting, billing, payroll, and administrative systems. Trustworthy and comfortable handling confidential financial information. Comfortable collaborating with outside accountants, billers, payroll providers, and other vendors. Someone who sees the whole system , rather than only their individual task. A Holistic Approach Matters Here pH Wellness is not a traditional corporate environment. You do not need to know everything on day one. What matters most is that you are smart, resourceful, ethical, curious, adaptable, and willing to figure things out.
Qualifications Required:
Accounting/bookkeeping experience Strong QuickBooks experience Experience with financial reconciliation and reporting Strong organizational and communication skills Ability to work independently and directly with ownership High level of confidentiality and integrity
Strongly Preferred:
Healthcare or medical-office accounting experience Medicaid billing/reimbursement experience Experience with Waystar or similar clearinghouse systems Payroll administration/oversight experience Experience working with contractors Experience coordinating with outside CPAs, bookkeepers, or billing companies Experience helping a small or growing organization build financial systems Position Structure We are open to discussing part-time, full-time, or fractional arrangements for the right person. Our priority is finding the right financial partner and systems leader , rather than simply filling a job description. The position may begin with a focused scope and grow as pH Wellness continues to strengthen its financial infrastructure.
