Job Summary:
Reporting to the Payroll Manager - the Payroll Specialist works in partnership with the Human Resources team and all department Managers and provides administrative support for Payroll functions. This role delivers superior customer service to all employees, liaises with external suppliers and provides support to organization's payroll and HR function. This role ensures legal compliance, accurate data entry and timely payroll processing.
Key Responsibilities:
Process full-cycle payroll for hourly and salaried employees across multiple U.S. states on a bi-weekly or semi-monthly schedule. Accurately input and maintain employee data including new hires, terminations, transfers, and compensation changes. Ensure compliance with federal, state, and local wage and hour laws, as well as company policies. Respond to employee inquiries regarding pay, deductions, and payroll policies in a timely and professional manner. Coordinate with HR and department managers to verify timekeeping data and resolve discrepancies. Process off-cycle checks, bonuses, and manual payments as needed. Prepare and review payroll reports for accuracy and provide audits as required. Maintain payroll records and documentation in accordance with legal and internal requirements. Generate and distribute pay statements, W-2s, and other tax documents. Assist in payroll tax reporting and filings in coordination with internal or external tax partners. Support year-end and quarter-end processes including reconciliations and audits.
Qualifications:
Bachelor's degree or equivalent. 5-7 years of full-cycle payroll experience across multiple locations and jurisdictions. In-depth knowledge of payroll compliance and accounting practices. Experience with UKG and processing hourly, salaried, and commission-based payrolls. Strong attention to detail, organizational skills, and ability to manage deadlines. Excellent communication skills and proficiency in MS Office (Word, Excel, Outlook, PowerPoint). Why work at GDI Ainsworth?
