OVERVIEW OF THE ROLE
Bridgeford Trust Company is seeking a Trust Taxation Specialist to take substantial ownership of and help lead the day-to-day fiduciary taxation functions across the firm's trust and fiduciary accounts. This position reports to the Director of Trust Operations & Fiduciary Taxation and the Deputy Director of Trust Operations & Fiduciary Taxation and works closely with trust officers, trust administrators, outside CPAs and tax professionals, attorneys, family offices, clients, and other internal and external partners. This is a hands-on, project-management-focused role for a highly organized and detail-oriented professional who has a strong interest in taxation and wants to develop specialized expertise in fiduciary taxation. The Trust Taxation Specialist will serve as Bridgeford's primary day-to-day coordinator for fiduciary tax administration and will be expected to drive recurring tax processes, maintain tax calendars and tracking systems, coordinate information and payments, manage notices and correspondence, and ensure open items are followed through to completion. Bridgeford may rely heavily on this position for the execution, coordination, and continuity of its fiduciary taxation functions. Accordingly, the successful candidate must be comfortable accepting meaningful responsibility, independently managing detailed workflows, identifying issues early, and seeking guidance when technical, legal, or material matters require escalation. The Director and Deputy Director will provide oversight, guidance, and assistance, and outside tax professionals will continue to provide tax preparation and technical tax advice as appropriate. Bridgeford does not prepare tax returns. Rather, this position is responsible for managing, coordinating, organizing, and driving the fiduciary tax process so that outside tax professionals and Bridgeford's internal teams have the information, approvals, funding, and documentation needed to complete tax-related responsibilities accurately and timely.
FUNCTIONS
Fiduciary Tax Administration and Ownership Take substantial ownership of Bridgeford's day-to-day fiduciary taxation processes across trust and fiduciary accounts. Serve as the primary internal coordinator for recurring fiduciary tax projects, calendars, deadlines, documentation, payments, notices, and follow-up. Develop and maintain detailed tax calendars, project plans, checklists, tracking systems, and status reports. Drive tax-related deliverables from initiation through completion and proactively follow up on outstanding items. Coordinate activities among trust officers, trust administrators, outside CPAs, tax preparers, attorneys, family offices, clients, and advisors. Identify missing information, approaching deadlines, unresolved deliverables, and potential risks and promptly resolve or escalate them as appropriate. Maintain organized, accurate, and complete records supporting the firm's fiduciary taxation processes. Provide regular updates to the Director and Deputy Director regarding deadlines, unresolved matters, material issues, and overall tax-process status. Annual Fiduciary Tax Reporting Process Coordinate and help lead the annual fiduciary tax reporting process for trust and fiduciary accounts. Collect, organize, review, track, and deliver tax information and supporting documentation to outside CPAs and tax preparers. Work with trust officers and trust administrators to identify and obtain missing tax information and documentation. Track the status of tax information requests, returns, extensions, filings, payments, and related deliverables. Review incoming tax-related materials for completeness and route technical or unusual questions to the appropriate professional. Maintain copies of returns, extensions, supporting documentation, communications, and other tax records in accordance with Bridgeford's recordkeeping practices. Help ensure tax-related information is appropriately reflected in Bridgeford's systems and internal records. Quarterly Estimates and Tax Payments Lead the administrative coordination of quarterly estimated tax processes for applicable trust and fiduciary accounts. Work with outside CPAs and tax professionals to obtain estimated tax calculations and payment instructions. Coordinate with trust officers and appropriate internal personnel to help ensure accounts have sufficient liquidity to fund tax obligations. Track estimated tax deadlines, required approvals, payment instructions, funding, and completion of payments. Maintain appropriate supporting documentation and records for estimated and other tax payments. Proactively follow up on outstanding calculations, approvals, funding needs, or other items that could affect timely payment. Escalate material issues, unusual situations, or unresolved technical questions to the Director, Deputy Director, or outside tax professionals. Tax Return and Filing Tracking Maintain centralized tracking of federal and state fiduciary tax returns, extensions, filings, and related deadlines. Monitor the status of returns being prepared by outside tax professionals and proactively follow up on outstanding items. Coordinate the collection and delivery of additional information requested by tax preparers. Track completed filings and maintain appropriate documentation within Bridgeford's records. Identify accounts requiring additional tax-related attention or follow-up. Prepare internal status reports regarding outstanding tax matters, upcoming deadlines, completed work, and material exceptions. IRS and State Tax Authority Notices Receive, log, organize, and route IRS notices, state taxing authority notices, information requests, and related correspondence. Maintain a centralized tracking system for notices, response deadlines, responsible parties, and resolution status. Coordinate with outside CPAs, attorneys, trust officers, and other professionals to gather information necessary to address notices. Follow open matters through resolution and maintain complete documentation of relevant communications and responses. Promptly escalate material notices, examinations, unresolved issues, or potential risks to the Director or Deputy Director. Assist with tax examinations and information requests by coordinating documentation and communications as directed. Tax Research and Internal Support Research routine fiduciary tax questions and process issues using available tax resources and guidance from the Director, Deputy Director, and outside tax professionals. Develop progressively greater familiarity with fiduciary income taxation, trust taxation, tax reporting, estimated tax requirements, and other tax concepts relevant to Bridgeford's trust relationships. Serve as a day-to-day resource for internal tax-process questions and coordinate more complex or technical matters with appropriate professionals. Maintain reference materials, procedures, checklists, calendars, and educational resources related to fiduciary taxation. Participate in tax-related training and continuing education and actively develop specialized fiduciary taxation knowledge. Help communicate tax-related processes, deadlines, documentation requirements, and procedural expectations to internal team members. Systems, Controls, Compliance, and Process Improvement Use trust accounting platforms, tax tracking systems, document-management tools, spreadsheets, and related applications to manage fiduciary tax workflows. Maintain accurate and complete tax-related data, supporting records, and audit trails. Follow established review, approval, documentation, segregation-of-duties, and other internal control requirements. Identify recurring workflow issues, missing information, inefficiencies, or opportunities to strengthen fiduciary tax processes. Assist the Director and Deputy Director with developing, documenting, and improving fiduciary tax procedures and controls. Participate in system improvements, data cleanup, procedure development, testing, and other departmental projects as requested. Provide records and supporting documentation for audits, compliance reviews, risk assessments, examinations, and internal reporting. Follow company policies, fiduciary obligations, contractual requirements, privacy and cybersecurity practices, record-retention requirements, and applicable operational controls. Internal and External Service Communicate professionally and responsively with trust officers, trust administrators, clients, advisors, attorneys, accountants, family offices, custodians, and other service providers. Build effective working relationships with outside CPAs and tax professionals responsible for preparing tax returns and providing tax advice to Bridgeford's trust accounts. Provide clear and timely updates regarding outstanding information, deadlines, payments, notices, and other tax-related matters. Help resolve routine fiduciary taxation process questions or route matters to the Director, Deputy Director, outside tax professionals, or other appropriate parties. Participate in departmental meetings, training, projects, and firm-wide initiatives. Maintain Bridgeford's commitment to responsive, proactive, accurate, and high-quality client service.
HANDS-ON EXPECTATION
This position is specifically designed to take substantial ownership of the detailed, day-to-day work associated with Bridgeford's fiduciary taxation function. The Trust Taxation Specialist is expected to manage tax projects and recurring processes, maintain detailed tracking systems, proactively follow up on outstanding items, meet deadlines, organize documentation, research routine questions, and drive matters through completion. Bridgeford expects to rely significantly on this position for fiduciary tax administration and continuity. The Specialist must therefore be able to work independently within established procedures, exercise sound judgment, communicate issues early, and recognize when guidance or escalation is required. The Director and Deputy Director will provide oversight and assistance, particularly for complex, technical, unusual, or material matters. Success in this role does not require someone to arrive as a fully developed fiduciary taxation expert. It does require someone who is highly organized, intellectually curious, detail-oriented, accountable, comfortable with meaningful responsibility, willing to learn, and exceptionally strong at managing projects and following through.
EXPERIENCE AND EDUCATION
Bachelor's degree in Accounting, Finance, Business Administration, Economics, Taxation, or a related field preferred. Recent graduates and early-career professionals with strong academic performance and a demonstrated interest in taxation, accounting, financial services, trust administration, or fiduciary services are encouraged to apply. Prior internship or professional experience in accounting, taxation, public accounting, financial services, banking, trust administration, family office services, or a related field is strongly preferred. Coursework or experience involving individual, business, estate, trust, or fiduciary taxation is preferred. Strong project-management and organizational skills, including the ability to manage numerous accounts, deadlines, deliverables, and follow-up items simultaneously. Exceptional attention to detail and demonstrated commitment to maintaining accurate and complete records. Strong analytical and problem-solving abilities and willingness to research unfamiliar issues. Ability to identify missing information, ask appropriate questions, document findings, make process-based decisions, and escalate technical or material issues when necessary. Strong written and verbal communication skills and the ability to communicate professionally with internal teams and external professionals. Proficiency with Microsoft Excel, Word, Outlook, and other business applications and the ability to learn trust accounting, document-management, and tax-related systems. Ability to maintain confidentiality, exercise sound judgment, learn complex processes, and work effectively in a collaborative environment. Demonstrated accountability and ability to independently follow assigned matters through completion. Desire to develop specialized knowledge and long-term expertise in fiduciary taxation. Willingness to cross-train, adapt to changing priorities, and assist with related trust operations and fiduciary accounting functions when needed.
