OVERVIEW OF THE ROLE
Bridgeford Trust Company is seeking a Trust Operations & Taxation Specialist to support the day-to-day work of the firm's Trust Operations, Fiduciary Accounting, and Fiduciary Taxation functions. This position reports to the Director and Deputy Director of Trust Operations & Taxation and works closely with trust officers, trust administrators, custodians, outside tax professionals, and other internal and external partners. This is a hands-on role for a detail-oriented professional who enjoys getting into the weeds, completing operational and tax-related tasks, researching and resolving exceptions, maintaining accurate records, and helping ensure work is completed accurately, timely, and consistently. The Specialist will help perform the work of the departments, support established procedures and controls, and identify opportunities to improve workflows and service.
FUNCTIONS
Trust Operations and Transaction Processing Post cash activity, receipts, disbursements, fees, income, expenses, and other account activity accurately and timely. Process and support wires, ACH transactions, checks, deposits, asset receipts, deliveries, transfers, and distributions in accordance with required authorization and documentation practices. Monitor transaction queues, deadlines, approvals, and exceptions and follow through until assigned items are completed. Research and help resolve transaction discrepancies, rejected items, posting errors, and other operational exceptions. Maintain organized supporting documentation and follow segregation-of-duties and dual-control requirements. Fiduciary Accounting and Reconciliations Perform daily, periodic, and month-end reconciliations of cash, security positions, transaction activity, income, receivables, and other account data. Research, document, escalate, and help resolve reconciliation breaks and outstanding items. Identify recurring discrepancies and communicate potential root causes or process improvements to the Director or Deputy Director. Prepare trust accounting information and supporting documentation for internal stakeholders and outside tax professionals. Asset Setup, Maintenance, Valuation, and Stale Assets Set up, classify, code, maintain, and close assets within the trust accounting system. Collect, review, document, and post valuations for marketable and non-marketable assets. Maintain valuation dates, source documentation, and asset records for real estate, closely held entities, private investments, limited partnerships, notes, tangible personal property, and other unique assets, as applicable. Monitor stale asset reports and follow up on outdated values, inactive positions, missing documentation, dormant holdings, and unresolved asset records. Coordinate with trust officers, clients, advisors, custodians, and valuation providers to obtain missing information and remediate stale or inaccurate records. Account Opening, Maintenance, and Closing Assist with new account setup, including account coding, registration, asset onboarding, system configuration, fee setup, and required data fields. Complete assigned account maintenance involving registrations, interested parties, distribution methods, restrictions, and operational instructions. Assist with account closings, including final transactions, asset transfers, fee processing, reconciliation, system closure, and supporting records. Use established checklists and quality-control procedures for account openings, changes, conversions, and closures. Fiduciary Taxation Support Support the annual fiduciary tax reporting process for trust and fiduciary accounts. Bridgeford does not prepare tax returns. Collect, organize, review, track, and deliver tax information and supporting documentation to outside CPAs, tax preparers, attorneys, family offices, and client advisors. Maintain tax calendars and tracking systems and monitor filing, information-delivery, estimated-tax, and payment deadlines. Assist with quarterly estimated tax calculations and payment processes as directed by outside tax professionals and Bridgeford leadership. Coordinate with trust officers and tax professionals to support timely funding and payment of tax obligations. Log and route IRS notices, state tax notices, examinations, information requests, and related correspondence, and assist with gathering information needed for responses. Maintain complete records of tax filings, payments, communications, notices, and supporting documentation and promptly escalate material issues. Systems, Controls, Compliance, and Process Improvement Use trust accounting platforms, custodial interfaces, document-management tools, and related applications to complete assigned work. Report system concerns, data-quality issues, control exceptions, and workflow problems to the Director or Deputy Director. Participate in system testing, conversions, data cleanup, procedure development, and process-improvement projects as requested. Follow company policies, fiduciary obligations, contractual requirements, privacy and cybersecurity practices, record-retention requirements, and applicable operational controls. Provide records and supporting documentation for audits, compliance reviews, risk assessments, examinations, and internal reporting. Support business continuity, disaster recovery, cross-training, and backup-coverage procedures for critical functions. Internal and External Service Communicate professionally and responsively with trust officers, trust administrators, clients, advisors, attorneys, accountants, family offices, custodians, vendors, and service providers. Help resolve operational, accounting, valuation, asset, and fiduciary tax questions or route matters to the appropriate team member. Participate in departmental meetings, training, projects, and firm-wide initiatives. Maintain Bridgeford's commitment to responsive, proactive, accurate, and high-quality client service.
HANDS-ON EXPECTATION
This position is specifically designed to perform the detailed, in-the-weeds work of the Trust Operations, Fiduciary Accounting, and Fiduciary Taxation functions. The Specialist is expected to take ownership of assigned tasks, maintain accurate documentation, meet deadlines, research and resolve routine exceptions, elevate material issues promptly, and help wherever needed to support the Director, Deputy Director, and department teams.
EXPERIENCE AND EDUCATION
Bachelor's degree in Accounting, Finance, Business Administration, Economics, Trust Management, or a related field preferred; relevant experience may be considered in lieu of a degree. Experience in trust operations, fiduciary accounting, trust administration, banking operations, financial services operations, taxation support, accounting, or a related field preferred. Trust company, bank trust department, family office, accounting firm, or fiduciary services experience is strongly preferred. Working knowledge of transaction processing, reconciliations, account maintenance, asset valuation, fiduciary taxation support, or trust accounting systems is preferred. Strong attention to detail and demonstrated ability to manage deadlines, maintain organized records, and follow through on assigned work. Ability to research discrepancies, identify missing information, document findings, and escalate issues appropriately. Strong written and verbal communication skills and the ability to work professionally with internal teams and external service providers. Ability to maintain confidentiality, exercise sound judgment, learn complex processes, and work effectively in a collaborative environment. Willingness to cross-train, adapt to changing priorities, and assist across multiple operational functions.

GENERAL Standard business hours are anticipated, but occasional unscheduled hours may be needed to meet high-volume, deadline-driven, or emergency needs.
