Job Description
Overview Position Summary Assistant Controller supports the daily operations of the Accounting Department, ensuring accurate financial reporting, effective internal controls, and compliance with established accounting policies and procedures. This position assists Accounts Payable and Accounts Receivable, supports general ledger and cost accounting functions, financial reporting, audits, budgeting, and job costing and inventory, and serves as a key resource in maintaining the integrity and accuracy of the organization's financial records. The Assistant Controller assists with financial analysis and reporting. Key Responsibilities Accounts Payable & Accounts Receivable Oversee daily Accounts Payable and Accounts Receivable operations, including invoice processing, payments, vendor maintenance, purchase orders, and payment schedules. Ensure accurate and timely entry of invoices and receipts into the accounting system, performing data entry tasks with close attention to detail and accuracy. Reconcile customer accounts and monitor Accounts Receivable aging; ensure cash receipts are applied to invoices accurately and timely. Review AP/AR transactions for proper coding, documentation, and approvals; monitor AP aging and resolve vendor and customer discrepancies. General Ledger & Accounting Operations Assist the Controller with daily accounting operations, including general ledger maintenance, general ledger account reconciliations, journal entries, accruals, adjustments, and account analyses. Assist with monthly, quarterly, and annual financial close processes; review financial records for accuracy, completeness, and compliance. Assist in maintaining accounting policies, procedures, and internal controls; identify opportunities to improve accounting processes and efficiencies. Cost Accounting, Job Costing & Inventory Perform job costing and inventory valuations; track expenditures against budgets; analyze and maintain standard costs. Perform periodic inventory valuation and reconciliation across raw materials, work-in-process, and finished goods. Analyze and report cost variances (purchase price, usage, labor efficiency, shrink) with root-cause explanations for operations leadership. Support physical inventory counts and determine proper inventory valuations. Perform detailed cost analysis to manage costs against budget. Financial Reporting & Analysis Assist with preparation of monthly financial statements, management reports, and financial summaries. Analyze financial information, identify discrepancies, and provide recommendations to support sound financial and operational decisions. Provide financial information and analysis to support strategic planning and operational decision-making; perform other duties as assigned. Audit & Compliance Assist with internal and external audits by preparing schedules, documentation, reconciliations, and supporting information; consult directly with auditors and ensure findings and recommendations are addressed promptly. Maintain organized, audit-ready, and meticulous financial records for internal and year-end audits, including reconciling general ledger accounts. Assist with implementation and monitoring of internal controls; ensure compliance with applicable accounting principles, organizational policies, and regulatory requirements. Skills Knowledge of accounting principles, financial reporting practices, and internal controls; solid understanding of GAAP and cost accounting principles. Strong knowledge of Accounts Payable and Accounts Receivable processes and accounting operations. Ability to analyze financial data, identify discrepancies, and recommend effective solutions. Proficiency with QuickBooks Online and Microsoft Excel. Exceptional attention to detail and accuracy; strong organizational and time-management skills with the ability to manage multiple priorities and deadlines. Ability to maintain strict confidentiality of financial and sensitive organizational information. Strong written and verbal communication skills; ability to work effectively with leadership, staff, vendors, and external auditors. Ability to exercise sound judgment and discretion when handling confidential financial information; ability to work independently and as part of a team. Education & Experience Bachelor's degree in Accounting, Finance, Business Administration, or a related field preferred. Minimum of five (5) years of progressive accounting experience, including Accounts Payable, Accounts Receivable, general ledger, job costing, or related accounting functions. Experience with GAAP, inventory or cost accounting, or in a governmental, Tribal, nonprofit, or similar accounting environment is preferred.
