- About the Role
- We are seeking an experienced, highly organized Controller to take ownership of the day-to-day accounting and financial operations of a growing wholesale distribution company.
This is a hands-on role for someone who is equally comfortable maintaining accurate financial records, overseeing accounts payable and receivable, managing cash flow, reconciling inventory, and providing management with clear and timely financial reporting. The ideal candidate brings strong accounting fundamentals along with experience in wholesale distribution, inventory accounting, purchasing, or another inventory-intensive business . You should be detail-oriented, analytical, dependable, and comfortable managing the accounting function with a high degree of independence.
- What You'll DoAccounting & Financial Reporting
- Maintain the general ledger and ensure financial transactions are recorded accurately and timely.
Manage monthly, quarterly, and annual closing processes. Prepare monthly financial statements and management reports. Complete monthly balance sheet and account reconciliations. Maintain the company's chart of accounts. Reconcile bank accounts, credit cards, merchant accounts, and financing facilities. Prepare financial analysis to support management and ownership decisions. Assist with annual budgeting, forecasting, and financial planning.
- Cash Flow & Banking
- Monitor daily cash balances and company liquidity. Prepare weekly cash flow forecasts. Process and oversee wire transfers and ACH transactions. Monitor debt obligations and financing facilities. Maintain reporting requirements associated with company lines of credit. Identify potential cash flow issues and communicate them proactively to management.
- Accounts Payable
- Oversee all accounts payable activities. Review vendor invoices against purchase orders and receiving documentation. Ensure vendors are paid accurately and on time while maximizing available payment terms and discounts. Maintain vendor records, including W-9 documentation. Prepare and process annual 1099 filings. Resolve vendor discrepancies and accounting issues.
- Accounts Receivable & Credit
- Oversee customer invoicing and accounts receivable. Monitor aging reports and collection activity. Partner with the sales team regarding delinquent accounts and customer payment issues. Reconcile customer accounts and resolve discrepancies. Process customer credit applications and maintain credit files.
- Inventory & Cost Accounting
- Maintain accurate inventory accounting records.
Reconcile physical inventory counts to financial records. Monitor inventory adjustments, discrepancies, and shrinkage. Calculate and analyze inventory costs and gross margins. Review purchasing and inventory trends. Help establish and improve inventory controls. Coordinate year-end physical inventory counts. Work with operations and warehouse teams to resolve inventory discrepancies.
- Payroll & HR Support
- Process payroll accurately and on schedule. Maintain payroll records and supporting documentation. Calculate commissions, bonuses, and other variable compensation. Ensure payroll tax compliance. Administer employee benefit deductions. Coordinate with outside payroll providers when necessary.
- Compliance & Tax Support
- Prepare sales tax returns and related reporting. Assist with federal and state tax filings. Coordinate with the company's outside CPA firm for annual reviews, audits, and tax preparation. Maintain compliance with applicable accounting standards and company policies. Assist with insurance audits and other financial compliance requirements.
- Internal Controls & Process Improvement
- Develop, document, and maintain accounting policies and procedures. Safeguard company assets through effective internal controls. Maintain appropriate segregation of duties where practical. Monitor fraud-prevention controls. Identify opportunities to improve accounting accuracy and efficiency. Implement processes that support the company's continued growth.
- Systems & Technology
- Maintain accounting software and electronic financial records. Generate customized financial and management reports. Support integrations between accounting, inventory, purchasing, and sales systems. Help identify opportunities to automate or streamline accounting processes.
- Qualifications
- 5+ years of progressive accounting experience required.
Previous experience as a Controller, Assistant Controller, Senior Accountant, Senior Bookkeeper, or similar hands-on accounting role . Bachelor's degree in Accounting, Finance, Business Administration, or a related field preferred. An associate degree combined with significant relevant experience will also be considered. Experience with wholesale distribution, importing, manufacturing, or another inventory-intensive business is strongly preferred . Strong experience with inventory and cost accounting. Solid understanding of GAAP and financial statement preparation. Knowledge of inventory costing methodologies, internal controls, payroll regulations, and sales tax compliance. Experience managing or supporting month-end and year-end close processes.
- Technical Skills
- Candidates should have strong proficiency with: QuickBooks Enterprise, NetSuite, Sage, Microsoft Dynamics, or comparable ERP/accounting software Microsoft Excel, including advanced accounting and financial analysis functions Microsoft Office Electronic banking platforms Payroll systems Inventory management systems
