Provide clerical and administrative support to the Assistant Superintendent. Maintain various lines of communication with staff, board members, and outside entities in a manner that is professional, diplomatic, and complies with confidentiality requirements. This is a 251 days/year, 7.5 hours/day position.Primary Duties:
- Provide leadership in managing the Assistant Superintendent's office including all correspondences and communications, which includes sorting and disseminating mail to appropriate individuals.
- Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.
- Ensures receipt of monthly reports, newsletters, and compliance items as directed.
- Submits quarterly and yearly reports as directed by local, state, and federal regulations.
- Maintains strict confidentiality.
- Attends and participates in scheduled meetings as directed. This includes taking minutes and preparing agendas as assigned.
- Solicits quotes or proposals as directed.
- Creates purchase orders as directed.
- Maintains and updates all curriculum documents for the South Middleton School District. This includes maintaining a seamless operation to ensure all K-12 documents are viewable to members of the public.
- Completes state, federal, and local reports as directed by administration.
- Assists the Federal Programs coordinator in ensuring non-public schools remain in compliance with local, state, and federal regulations.
- Facilitates out of district conference arrangements for staff. This includes travel, lodging, and registration.
- Creates staff accounts, uploads student rosters, and manages student benchmarking, diagnostic, and screening databases as directed.
- Prepares annual notices in keeping with Chapter 4 regulations.
- Registers participants for local, state, and federal conferences. Including those that are mandated within the current federal regulations.
- Creates and sends semi-annual time certifications to K-3 buildings, Title I, Title II, and Title IV.
- Creates/maintains staff accounts in school security, professional development, and curriculum databases.
- Creates professional development sessions and assigns staff in applicable programs for school safety, professional development, or curriculum management.
- Ensures smooth professional development days. This includes, but is not limited to, before training, during training, and after training items.
- Understands Act 48 requirements and ensures the district is operating within the confines of local, state, and federal regulations.
- Awards Act 48 hours to staff members.
- Assists the Federal Programs Coordinator with meeting Federal Programs Planning goals and surveying staff, parents, and students.
- Maintains log of communication with non-public schools for Title I.
- Compiles documents for consolidated review, Equity Report, and Comparability Report.
- Updates Title I Compacts, Right-to-Know letters, Parent Engagement Policies, and Schoolwide plans.
- Assists with any and all federal, state, or local reports as directed.
- Performs other related duties assigned by the supervisor.
Required Clearances/Pre-employment Steps:

PA Child Abuse Clearance Required Knowledge, Skills & Abilities:
- High School Diploma or equivalent
- Three (3) to five (5) years previous secretarial experience
- Excellent computer skills with proficiency in Microsoft Office Suite, Google, or related software
- Excellent verbal and written communication skills
- Proficient understanding of clerical procedures and systems such as recordkeeping and filing
- Ability to work independently
- Excellent attention to detail
- Excellent organizational skills and ability to multitask
- Possess strategic and critical thinking skills Human Relations /
Contact and Communications:
This position will interact frequently with internal key stakeholders and must possess excellent interpersonal skills, building and maintaining relationships with all team members. This position will have contact with the community, district staff, parents and board members, so the incumbent must be cooperative, congenial and service-oriented.
