Role Summary The Clinic Manager is responsible for the day-to-day operations of a Fertility clinic, ensuring smooth clinical workflows, strong staff performance, and a consistently excellent patient experience. This role owns on-the-ground operations, staffing, and compliance for the clinic, and acts as the main point of coordination between the Los Angeles site and regional/HQ leadership across time zones. Key Responsibilities 1. Clinic Operations Oversee daily clinic operations, including patient flow, scheduling, and front and back office coordination. Ensure the clinic runs efficiently and consistently meets clinic's service standards. Manage inventory, vendor relationships, and facility upkeep for the Los Angeles site. Act as the on-site escalation point for operational issues and service recovery. 2. Staff Management & HR Manage on-the-ground staffing: scheduling, performance, and day-to-day supervision of clinic staff. Support hiring and interviewing for clinic-level roles, in coordination with HR. Onboard new staff and coordinate ongoing training needs. Foster a positive, accountable team culture at the clinic. 3. Compliance, Risk & Quality Ensure the clinic operates in compliance with HIPAA, CLIA, OSHA, and California Department of Public Health requirements. Maintain required clinic licenses, permits, and accreditations, and track renewal timelines. Support quality assurance programs, internal audits, and corrective action plans. Flag legal, regulatory, or risk concerns (e.g. insurance renewals, licensing gaps) to regional leadership and legal counsel in a timely manner. 4. Finance & Administration Manage clinic-level budget tracking, expense approvals, and basic financial administration. Coordinate with the finance team on payroll inputs, billing, and cash handling at the clinic. Support budget planning and cost control for the site. 5. Patient Experience Champion a patient-centered culture, ensuring compassionate, timely, and high-quality care. Monitor patient satisfaction and lead service recovery when issues arise. Work with clinical staff to ensure consistent, evidence-based care delivery. 6. Communication & Stakeholder Coordination Serve as the main point of contact between the Los Angeles clinic and regional/HQ teams across time zones. Provide regular operational updates to regional and executive leadership. Coordinate with clinical leadership, finance, and legal on cross-functional matters affecting the clinic. Key Metrics of Success Operational efficiency and consistency of the Los Angeles clinic. Staff retention, engagement, and performance. Patient satisfaction and service recovery effectiveness. Regulatory compliance and audit outcomes. Timely escalation and resolution of risk and compliance issues. Requirements Bachelor's degree in Nursing, Allied Health, Business Administration, or a related field (required). Minimum of 3-5 years of clinic management or supervisory experience in a healthcare setting, preferably IVF/fertility. Working knowledge of HIPAA, CLIA, and California healthcare regulatory requirements. Strong leadership, communication, and interpersonal skills. Comfortable working across time zones with an Asia-based regional/HQ team. Familiarity with EMR systems, patient scheduling, and clinical documentation workflows. Proficiency in MS Office (Word, Excel, PowerPoint). Ability to multi-task in a fast-paced environment and handle stressful situations with professionalism.
