Job Summary We are seeking a dynamic and highly organized Medical Office Administrator to lead the efficient operation of our healthcare practice. This vital role combines administrative expertise with healthcare management skills to ensure seamless clinic operations, exceptional patient service, and compliance with healthcare regulations. Duties Oversee daily clinic operations, ensuring smooth workflow across all departments and functions. Manage medical records, electronic health records (EHR) systems, (ECW) and patient management software to maintain accuracy and confidentiality. Supervise healthcare staff, including medical administrative support, nursing personnel, and office staff, fostering a collaborative team environment. Coordinate billing, coding, and medical billing processes using systems like ECW to ensure timely and accurate reimbursements. Monitor compliance with
HIPAA, JCAHO
standards, health regulation policies, and other legal requirements to uphold the highest standards of patient privacy and safety. Handle fiscal management tasks such as budgeting, financial management, and resource allocation to optimize practice efficiency. Facilitate human resources functions including hiring, training, performance evaluations, and managing staff schedules. Support practice management activities by implementing healthcare practice management strategies that improve patient care delivery and operational efficiency. Ensure adherence to managed care protocols and utilization management procedures for optimal patient outcomes. Maintain excellent customer service by addressing patient inquiries, resolving issues promptly, and ensuring a positive experience at every touchpoint. Experience Proven experience in medical office administration or healthcare practice management within a clinical setting. Demonstrated supervisory experience managing teams within a healthcare environment. Strong understanding of medical terminology, medical records management, billing procedures, and health regulation policies including HIPAA compliance. Familiarity with healthcare management principles including budgeting, financial management, managed care policies, and utilization management. Prior experience supervising healthcare staff and coordinating multidisciplinary teams to achieve operational excellence.
