Company Overview Plastic & Hand Surgical Associates is a highly regarded independent practice dedicated to providing compassionate and expert plastic and hand surgery care in Northern New England. Our team of surgeons, physician assistants, occupational therapists, and support staff work collaboratively to deliver exceptional patient outcomes and personalized treatment. Job Summary Plastic + Hand Surgical Associates is looking for an experienced Patient Services Manager to join our leadership team. This is an important leadership role at the heart of our practice, with three key areas of focus: leading and managing staff, supporting an exceptional patient experience and helping shape and carry out strategic priorities across the organization. You'll lead a large, multidisciplinary team across several areas of the practice, working closely with each department's Team Lead to support staff, manage day-to-day needs and help teams work effectively together. You'll also work directly with patients when concerns need additional attention, listening, problem-solving and helping ensure each situation is handled thoughtfully and with the patient experience at the center. This is also a strategic role. You'll work closely with our nine plastic surgeons, Practice Administrator and other leaders to identify opportunities, solve problems and move important initiatives forward while helping ensure the practice operates in line with healthcare regulatory requirements. We're looking for someone who can balance day-to-day needs with the bigger picture and bring people together around shared priorities. Key responsibilities Lead and manage our teams
  • Lead and manage a large team across several clinical and administrative areas, including Practice Coordinators, Physician Assistants, Certified Surgical Technicians, Occupational Therapists, Radiologic Technologists, Phone Receptionists and the Skin Solutions team.
  • Work closely with department Team Leads to support staff, address day-to-day needs and maintain strong communication and consistency across teams.
  • Recruit, onboard, develop and retain talented team members while fostering a positive, accountable and collaborative work environment.
  • Partner with physicians, providers and Team Leads on staffing, schedules, scheduling templates and workflows to support appropriate coverage, efficient operations and productivity across the practice.
  • Address employee and operational issues thoughtfully, bringing in the appropriate leaders and resources when needed. Support an exceptional patient experience
  • Serve as a senior resource for patients when concerns, complaints or difficult situations require additional attention. Work toward appropriate solutions and help ensure patients feel heard, respected and well cared for.
  • Partner with physicians, providers and staff to resolve patient issues while balancing individual needs with practice policies and clinical considerations.
  • Look for patterns in patient feedback and identify opportunities to strengthen service, communication and the overall patient experience. Lead operational priorities and strategic initiatives
  • Work closely with our nine plastic surgeons, Practice Administrator and other leaders to advance strategic priorities across the organization.
  • Collaborate with HR, Billing, Surgery Center leadership and other managers to address practice-wide needs, strengthen communication and keep teams aligned.
  • Help develop and implement new processes, programs and initiatives, translating larger goals into practical plans and action.
  • Bring a thoughtful, solutions-oriented perspective to operational challenges and opportunities for improvement.
  • Lead systems, workflow and process improvement projects, serving as a key resource and "super user" for our Nextech practice management system.
  • Oversee operations for our Skin Solutions team, including staffing and scheduling, inventory, vendor relationships and coordination with Marketing.
  • Partner with Marketing as an operational and clinical resource on patient communications, educational materials and practice initiatives.
  • Support compliance with HIPAA, OSHA and other healthcare regulatory requirements, helping ensure appropriate policies and operational best practices are followed across the practice.
  • Provide leadership support and coverage for the Practice Administrator as needed.
What we're looking for The ideal candidate is a strong people leader who communicates clearly, listens well and builds trust easily with staff, patients, physicians and fellow leaders. The candidate should enjoy managing a large team and working closely with people across many different areas of a busy medical practice. We're looking for someone with a strategic mindset who enjoys looking beyond the immediate issue, identifying ways to make the practice stronger and working collaboratively with physicians and other leaders to turn priorities and ideas into meaningful change.
Qualifications include:
  • Three or more years of progressive supervisory or management experience working with a large team in a medical or surgical practice.
  • Strong leadership, communication, relationship-building and problem-solving skills.
  • Experience working directly with patients to address concerns and support a positive patient experience.
  • Ability to work effectively with physicians, senior leaders, managers and staff across an organization.
  • Experience leading or implementing strategic initiatives, new programs, processes or organizational improvements.
  • Ability to manage multiple priorities and adapt to the changing needs of a busy medical practice.
  • Strong knowledge of HIPAA, OSHA and healthcare regulatory requirements.
  • Strong proficiency with practice management and EMR systems is required.
  • Experience in plastic surgery, dermatology or medical aesthetics is preferred, but not required.
  • A nursing degree, a bachelor's degree in healthcare administration, business or a related field is preferred.

Pay:
$90,000.00 - $100,000.00 per year
