Job Description

Job Summary We are seeking a dynamic and organized Clinic Coordinator to join our healthcare team! In this vital role, you will serve as the backbone of daily clinic operations, ensuring seamless patient flow, accurate documentation, and efficient administrative support. The Clinic Coordinator manages daily clinical operations and patient workflows for our comprehensive pain management practice. This role acts as a primary liaison between patients, clinical providers, and administrative departments. The ideal candidate ensures the clinic maintains high patient satisfaction, smooth daily scheduling, and strict compliance with controlled substance regulations.
Key Responsibilities Workflow Coordination:
Oversee daily patient flow, minimize wait times, and resolve clinical bottleneck areas between front-desk staff and medical providers.
Pre-Procedure Readiness:
Verify that patient charts are complete with recent MRIs, X-rays, lab work, and insurance prior-authorizations before interventional procedure dates.
Prescription & Compliance Monitoring:
Triage medication refill requests, cross-reference state prescription drug monitoring databases, and maintain accurate logs for controlled substances.
Patient Communication:
Direct inbound medical inquiries, deliver specialized pre- and post-procedure guidelines, and coordinate outside referrals for physical therapy or surgery.
Staff Supervision:
Help onboard, schedule, and guide Medical Assistants to ensure high clinical standards and room-readiness.
Inventory Control:
Monitor, track, and order procedural medical devices, clinic safety equipment, and office supplies.
Qualifications Education:
High school diploma required; Associate or Bachelor's degree in Healthcare Administration or a related science field preferred.
Experience:
Minimum of 2-3 years in an outpatient medical office setting; direct experience in pain management, orthopedics, or neurology is highly valued.
Certifications:
Certified Medical Assistant (CMA/RMA) or Registered Nurse (RN) credentials are a plus but not always mandatory depending on the scope of direct patient care.
Technical Skills:
Proficiency with electronic health records (EHR) software (e.g., Epic, eClinicalWorks) and medical scheduling tools.
Soft Skills:
Strong crisis management abilities, deep empathy for patients dealing with chronic pain, and excellent organizational skills. Responsibilities Manage patient intake processes, including scheduling appointments and verifying insurance coverage using systems like Epic, Meditech, or Athenahealth. Maintain accurate medical records and electronic health records (EHR) using EMR systems such as eClinicalWorks or other EHR platforms. Review clinical documentation for completeness and compliance with HIPAA regulations and medical confidentiality policies. Assist with billing procedures by understanding medical coding including
CPT, ICD-9, ICD-10
codes, Medicare requirements, and medical collection processes. Support front desk operations by answering phones with professional phone etiquette, greeting patients, and managing appointment schedules efficiently. Collaborate with healthcare providers to develop care plans and ensure proper documentation review for billing and clinical purposes. Maintain office supplies, file medical records securely, and perform clerical tasks such as data entry with high accuracy using Microsoft Office tools.
Pay:
$29.00 - $32.00 per hour
