Patient Experience Coordinator / Front Desk Receptionist Blaine Plastic Surgery | Huntington, NY Blaine Plastic Surgery is seeking a polished, personable, and highly organized Full-Time Patient Experience Coordinator / Front Desk Receptionist to join our growing plastic surgery and medical aesthetics practice. The ideal candidate is warm and welcoming, confident communicating with patients, highly organized, and able to manage multiple priorities in a fast-paced, high-end medical environment. This position plays an important role in creating an exceptional patient experience and making a strong first and lasting impression. We are looking for someone who is reliable, proactive, professional, and takes initiative —someone who sees what needs to be done and gets it done without always being asked. Responsibilities Patient Experience & Front Desk Warmly greet all patients and visitors upon arrival and provide exceptional customer service throughout their visit. Create a welcoming, polished, and professional front-desk experience. Check patients in and out efficiently and accurately. Collect patient payments, deposits, and outstanding balances while maintaining professionalism and accuracy. Answer incoming calls promptly using excellent phone etiquette, including a pleasant greeting, clear communication, inviting tone, and active listening. Assist patients with questions and provide accurate information in person, by phone, email, and text. Assist with appointment scheduling, confirmations, rescheduling, and general appointment inquiries. Ensure patient demographic information, forms, and other necessary information are accurate and up to date. Maintain strict patient confidentiality and follow HIPAA policies and office procedures. Scheduling & Administrative Support Manage and maintain provider calendars and assist with coordinating appointments and schedule changes. Monitor the daily schedule and communicate important changes or patient information to the appropriate team members. Work closely with physicians, providers, medical assistants, patient coordinators, and management to ensure smooth daily operations. Maintain an organized and presentable reception area at all times. Maintain office supplies and assist with inventory and ordering. Perform administrative duties including filing, scanning, photocopying, faxing, and other clerical tasks as needed. Assist with office organization and other projects as assigned. Patient Engagement & Practice Support Be knowledgeable about the practice's services, providers, promotions, and membership programs. Comfortably discuss services and promotions with patients and assist in identifying opportunities to schedule consultations or future appointments. Provide a seamless transition between the front desk and clinical team. Take initiative in identifying ways to improve the patient experience and overall efficiency of the front desk. Be willing to assist other team members and departments when needed. Qualifications & Skills Previous experience as a receptionist, front desk coordinator, patient coordinator, or similar role. Medical office, plastic surgery, dermatology, medical spa, luxury hospitality, or high-end customer service experience preferred. Professional, polished, and personable demeanor. Exceptional customer service and interpersonal skills. Excellent written and verbal communication skills. Strong phone etiquette and communication skills. Excellent organizational and time-management skills. Ability to multitask and prioritize in a fast-paced environment. Strong attention to detail. Reliable, punctual, and dependable. Proactive "doer" who takes initiative and follows through on responsibilities. Ability to work independently while also being a strong team player. Comfortable handling payments and communicating professionally with patients regarding balances. Computer proficient and comfortable learning new software and technology. Experience with EMR and scheduling software a plus. Nextech experience a plus . Medical terminology/knowledge a plus. High school diploma or equivalent required.
